B. Cortopassi Design is seeking a full-time Administrator / Procurement Manager to serve as the operational backbone of our boutique luxury interior design studio in Charleston, South Carolina.
This role supports day-to-day studio operations, manages the full lifecycle of product procurement, and coordinates the logistics of client deliveries and installations. The ideal candidate is highly organized, detail-oriented, composed under pressure, and comfortable managing many moving parts across multiple custom residential projects.
Key responsibilities include:
Overseeing daily studio operations, office organization, supplies, mail, packages, phones, calendars, vendor files, trade accounts, and service providers
Maintaining accurate vendor, item, and project information across Studio Designer, Google Drive, and Asana
Managing the full procurement lifecycle in Studio Designer, including purchase orders, order confirmations, acknowledgments, vendor payments, order tracking, freight, receiving, and reporting
Coordinating with vendors, receivers, warehouses, installers, builders, clients, and the internal design team
Managing damage claims, returns, replacements, repairs, and order discrepancies
Preparing weekly procurement updates and participating in monthly open PO reviews with the bookkeeper
Coordinating shipments, deliveries, warehouse releases, and client installations
Supporting installation preparation, including inventory review, installation kits, on-site logistics, item inspection, and post-installation follow-up
Providing warm, professional client hospitality and assisting with client communications related to deliveries, damages, and returns
Logging billable and non-billable time accurately in Studio Designer

Qualifications
Prior experience in the interior design industry required; luxury residential design experience preferred
Experience with procurement of custom furnishings, lighting, fabrics, wallcoverings, rugs, antiques, and specialty items strongly preferred
Strong working knowledge of Studio Designer strongly preferred
Excellent organizational skills and close attention to detail
Ability to manage many orders, deadlines, vendors, and project details simultaneously
Strong written and verbal communication skills
Comfortable communicating with vendors, warehouses, installers, clients, builders, and internal team members
Proactive, resourceful, and calm under pressure
Highly professional and polished in client-facing situations
Comfortable working in Google Workspace and Asana
Ability to lift and move small packages and assist with light installation preparation as needed
Valid driver’s license and reliable transportation required
Ideal Candidate
The ideal candidate has worked inside a residential interior design studio or closely adjacent luxury furnishings environment and understands that procurement is both highly detailed and highly relational. They know how to follow up without being prompted, keep clean records, anticipate problems before they become urgent, and communicate clearly when timing, pricing, freight, damages, or vendor details change.
This person is equally comfortable tracking custom orders in Studio Designer, coordinating with a receiver, preparing for an installation, greeting a client, and keeping the studio running beautifully behind the scenes.
