Kate Figler Interiors is a boutique residential interior design firm in Nashville, TN seeking a part-time Operations Manager to oversee studio operations, vendor relations, client relations and the procedural health of the firm.
Core Responsibilities:
Project Coordination & Execution:
- Oversee and track project timelines from concept to installation
- Coordinate with designers to ensure deliverables stay on schedule and within scope
- Handle damages, returns and claims with vendors and freight carriers
Vendor & Client Relationships:
- Build and maintain strong relationships with vendors, suppliers and workrooms
- Ensure vendor accountability for quality, timeliness and remediation
- Build and maintain a vendor escalation process so issues are handled consistently and documented thoroughly
- Communicate directly with clients to provide post-installation follow ups and information regarding repair timelines, replacement status and next steps when issues arise, ensuring they remain informed and reassured
- Serve as a professional and warm liaison between the firm and its clients during sensitive situations involving delays, damages and billing
- Communicate firm policies to clients, both during the onboarding process and project duration
Operations & Team Support:
- Develop and refine internal systems, workflows and organizational tools
- Support team members with project management best practices and time billing accountability
- Identify inefficiencies and implement solutions to improve overall operations
Business Development & Strategy:
- Assist with new business acquisition efforts, including inquiries and onboarding processes
- Support proposal development, project scoping and fee structures
- Contribute to strategic planning, including scaling operations and improving profitability
- Provide insight into how to best structure and organize the firm for growth
Requirements:
- 3-7+ years of experience working in operations, project management or client relations, ideally at an interior design studio, architectural firm or related industry
- Strong understanding of residential interior design processes, timelines and vendors
- Proven ability to manage multiple projects and priorities simultaneously
- Experience handling vendor relationships and solving product or installation issues
- Highly organized with strong follow-through, exceptional attention to detail and a solutions-oriented mindset
- Familiarity with Asana and Airtable preferred
Compensation & Structure
- Hours: 15-25 hours per week (flexible; mix of remote and on-site)
- Compensation: $35-$55/hour depending on experience
- Location: Nashville, TN preferred but not required
