Kate Figler Interiors is a boutique residential interior design firm in Nashville, TN seeking a part-time Operations & Finance Manager to oversee studio operations, vendor relations, client invoicing and financial tracking. This is a newly created role that is designed to own the operational and financial health of the firm.
Core Responsibilities:
Financial Strategy & Bookkeeping:
- Manage day-to-day bookkeeping using QuickBooks, including expense tracking, reconciliation and sales tax remittance
- Ownership of client invoices, ensuring they are paid in a timely manner
- Analyze the firm’s billing practices and recommend improvements
- Develop and present monthly financial summaries to the CEO, including profitability and margin analysis
Vendor & Installation Management:
- Serve as the point of contact for installation or product issues, coordinating directly with vendors and clients to resolve issues efficiently
- Track open claims, repair and replacement orders through to resolution
- Build and maintain a vendor escalation process so issues are handled consistently and documented thoroughly
Client Communication:
- Communicate directly with clients to provide post-installation follow ups and information regarding repair timelines, replacement status and next steps when issues arise, ensuring they remain informed and reassured
- Serve as a professional and warm liaison between the firm and its clients during sensitive situations involving delays, damages and billing
- Communicate firm policies to clients, both during the onboarding process and project duration
- Work with CEO to prepare project proposals for prospective clients
- Protect and enhance the firm’s reputation by turning difficult moments into trust-building opportunities
Requirements:
- 3+ years of experience working in operations, project management or client relations, ideally at an interior design studio, architectural firm or related industry
- Bookkeeping proficiency (QuickBooks preferred)
- Experience advising small business owners on billing practices, pricing strategy and financial operations
- Proven ability to manage vendor relationships and solve product or installation issues
- Highly organized with strong follow-through, exceptional attention to detail and sound judgement
- Familiarity with Houzz Pro, Google Suite, Asana and Airtable preferred
Compensation & Structure
- Hours: 15-25 hours per week (flexible; mix of remote and on-site)
- Compensation: $35-$50/hour depending on experience; this is a 1099 independent contractor position
- Location: Nashville, TN preferred but not required
