We are seeking a highly organized, systems-driven Purchasing & Operations Coordinator to oversee procurement, financial tracking, and order management across multiple high-end residential projects.
This role serves as the operational backbone of the studio, ensuring furnishings and custom pieces move from specification through installation with accuracy, accountability, and financial clarity.
The ideal candidate anticipates issues before they arise and creates calm through structure.
Key Responsibilities
- Procurement & Order Management
- Generate and manage purchase orders
- Liaise with vendors regarding pricing, lead times, and freight
- Track orders from placement through delivery and installation
- Coordinate with receiving warehouses and installers
- Resolve damages, shortages, and discrepancies
- Maintain organized procurement documentation
Financial Tracking
- Process vendor invoices in alignment with POs
- Track project spend against budgets
- Support client billing and reconciliation
- Monitor outstanding invoices
- Assist with month-end and project close-outs
Studio Operations
- Align procurement with project schedules
- Maintain and improve purchasing systems
- Handle client and financial information with discretion
- Support workflow refinement as the studio grows
Who You Are
- 3+ years experience in purchasing, procurement, bookkeeping, or studio operations (interior design or related industry preferred)
- Highly organized and detail-oriented
- Comfortable managing multiple projects simultaneously
- Strong communicator with clear follow-through
- Proficient in spreadsheets and digital tracking systems
- Calm, proactive, and accountable
