Job Description

High-end residential design firm located in New York is seeking a full time experienced Administrative Assistant/Design Assistant. Our ideal candidate is exceptionally organized, dependable and enthusiastic with excellent oral and written communication skills. Must be able to problem solve and work independently. Primary responsibilities will be assisting the back office with all admin duties and supporting design team. Candidate must be flexible to run errands and assist with other tasks as needed. Experience with IT troubleshooting is desired but not necessary. Knowledge of Fine Art & antiques and inventory management systems is a plus.

Job Requirements

• Excellent oral and written communication skills, with superior follow-through
• Highly detail-oriented with organizational and time management skills
• Proficiency with Mac OS, Microsoft Office, and Adobe Suite; Photoshop and Studio Designer a plus
• Enthusiastic, trustworthy and self-motivated with a positive can-do attitude
• Ability to present and communicate professionally with vendors and clients as needed
• Able to meet task deadlines
• Enjoys working in a small, fast-paced office environment
• Able to travel when needed, has a valid Driver’s License
• Able to adapt to an ever changing environment and prioritize tasks
• Ability to problem solve and have critical thinking skills
• Prepare travel schedules and agendas
• Ability to carry, lift, and move items for installations on job sites

Responsibilities:
• Scanning, filing, printing, emailing with vendors and service providers as needed
• Assist with organizing correspondence, invoicing, office files, sorting and logging mail
• Cataloguing samples and assisting with inventory management
• Assist design team with projects as needed
• Run errands and help direct interns as needed
• Do personal tasks and errands for Principal
• Communicate with vendors, service providers and outside consultants
• Purchasing supplies, organizing Zoom calls and manage/update team calendars
• Travel is required
• Assist with reconciling monthly bills and credit card payments
• General office tasks and organization
