The Studio Coordinator runs the operational backbone of Passerini, reporting directly to the principal. This role manages day-to-day project execution, atelier operations, and studio administration.
Core responsibilities: Manage procurement from specification to installation across multiple vendors and international suppliers. Coordinate with Italian workshops, European fabric houses, and bespoke furniture makers. Track purchase orders, monitor lead times, and supervise installation of Passerini-specified items. Handle supplier correspondence and maintain vendor relationships. Manage the principal's diary including international travel coordination. Oversee project documentation, filing systems, and sample libraries.
Atelier operations: Manage inventory for Palm Beach Atelier's curated collection including custom linens, Fortuny accessories, and vintage Murano glass. Coordinate visitor appointments and process atelier sales orders.
Client support: Track contract execution and project milestones. Support invoicing and maintain client financial records. Coordinate project scheduling while the principal maintains direct client relationships.
International coordination: Support European project logistics including learning compliance requirements for international markets. Manage international shipping, customs documentation, and vendor communications across time zones. Training provided on specific compliance requirements.
Administrative excellence: Maintain project tracking systems and generate reports on timelines, budgets, and vendor performance.
Hours: Monday-Friday, 9:00 am-4:00 pm (35 hours/week). Based at Jupiter Design House with regular Palm Beach Atelier presence. Clear advancement path as practice scales.
Essential experience: One to three years in a design studio, architecture practice, luxury retail, or high-end hospitality. Direct experience with custom procurement workflows, vendor coordination, and project tracking systems required. Familiarity with interior design trade structure including to-the-trade vendors and custom workrooms.
Technical competencies: Proficiency with project management software and procurement tracking systems. Experience with design trade platforms preferred. Strong Excel skills for budget tracking. Comfortable learning new software systems.
Communication skills: Excellent written and verbal communication in English. Ability to communicate professionally with high-end vendors, international suppliers, and discerning clients. Italian or Spanish language skills significant advantage given extensive European vendor base and international project pipeline.
Learning orientation: Willingness to master complex international logistics and compliance requirements. The practice maintains active European projects requiring coordination with various international standards. Training provided on specific compliance requirements, but candidates must demonstrate strong attention to detail and systematic approach to documentation.
