The Procurement & Studio Coordinator owns the operational side of our projects from approved selections through installation and construction completion. You’ll manage purchase orders, vendors, workrooms, freight, receiving and delivery logistics, while also supporting construction-phase coordination, project documentation, billing and studio systems.
You’ll be the person the design team relies on to know where orders, materials and project details stand and what needs attention next. This is an operations-focused role, not a pathway into design, and is ideal for someone who is highly organized, detail-oriented and comfortable managing many moving pieces at once.
Procurement & Project Coordination
- Manage purchasing and procurement in Studio Designer from approved selection through delivery and installation
- Obtain and verify vendor quotes, pricing, freight, lead times and specifications; maintain trade accounts
- Prepare POs for Principal approval and place orders once client funds have cleared
- Review acknowledgments and track production, shipping, COM, CFA and delivery status
- Coordinate furnishings, construction materials, freight, receiving, storage, delivery and installation
- Resolve damages, returns, discrepancies, backorders and warranty claims
- Serve as the primary contact for vendors, workrooms, fabricators, warehouses and delivery partners
- Maintain accurate project and order information in Studio Designer
- Prepare the weekly procurement report and lead the weekly procurement meeting
- Support project schedules and construction/install coordination
Billing & Finance Support
- Collect weekly time entries and run time reports in Studio Designer
- Prepare monthly client invoices for Principal approval and follow up on open balances
- Track client deposits and reconcile vendor invoices against approved POs
- Coordinate with the outside bookkeeper on payment records and monthly reconciliation
Billing: post client payments; reconcile vendor invoices to POs for our outside bookkeeper.
Project operations: set up new projects (onboarding, agreements, sales-tax locations, files); keep project schedules, FF&E schedules and installation calendars current; maintain Asana; record meeting notes; maintain each project's budget tracker and flag drift to the design team; assist with proposals and presentation documents in Excel and Canva; coordinate project closeout.
Studio operations: maintain the materials and sample library; order and track samples, CFAs and memos; receive packages, keep supplies stocked, manage subscriptions and insurance certificates; schedule client meetings and site visits; run studio errands; support installs and styling days, including light lifting; help gather content for social media.
Requirements
- 3 or more years in procurement, purchasing, project coordination or studio operations, ideally in residential interior design
- Working knowledge of Studio Designer or a comparable procurement platform
- Familiarity with custom furnishings, upholstery, lighting, fabrics, rugs and window coverings, and how lead times and workrooms work
- Knowledge of freight logistics, receiving warehouses and installation coordination
- Comfortable handling purchase orders, vendor payments and client billing with accuracy and discretion
- Proficiency in Excel and Word; Canva a plus
- Exceptional organization and follow-through; calm and proactive with many open orders at once
- Clear, professional communication with vendors, trades and clients
- Reliable transportation, a valid driver's license and insurance
