Job Description

We are looking for an Administrative Assistant with 3 to 5 years of experience to support the Principal and Office Manager and contribute to smooth office administration and operations. This is a new position designed to be our key support partner—assisting with communication, schedules, administrative tasks, and daily needs with professionalism, discretion, and exceptional attention to detail. They will also assist with personal errands and tasks such as schedule appointments, schedule and coordinate family travel, run errands, return merchandise at stores, etc. (must be comfortable with supporting business and personal needs to optimize productivity).

The ideal candidate is an experienced administrative professional who takes pride in enabling others to do their best work—someone who is organized, anticipatory, calm under pressure, detail-oriented, and aligned with the team’s refined, service-oriented style. This is a full-time, in-person role (Monday–Friday, 9am–5pm) based in the Greenwich, CT studio, requiring reliability, discretion, strong communication skills, and comfort engaging directly with clients and vendors.

The ideal candidate thrives in a fast-paced, detail-oriented design studio, approaches challenges proactively, and represents the firm’s polished, service-driven brand with grace and confidence. Must be diligent with monitoring, following up and following through on priorities and day-to-day needs.

Job Requirements

• 3–5 years of professional administrative experience, preferably within a creative, design, or client-service-oriented environment.
• Experience supporting business owners and leaders in a high-touch, fast-paced setting.
• Familiarity with Studio Designer and Harvest billing software is a plus but not required.
• Exceptional organizational, communication, and interpersonal skills.
• Strong writing and email communication abilities.
• Experience and ability to reconcile credit cards and process invoices.
• Highly proficient with Apple products (Mac) with Word, Excel, PowerPoint, Adobe Suite, MS Outlook.
• Detail-oriented with strong follow-through and accountability.
• Ability to manage multiple priorities calmly and professionally.
• Must be comfortable managing multiple priorities and engaging directly with clients and vendors.
• Discreet, trustworthy, and adaptable.
• Initiative—anticipates needs rather than waiting for direction.
• Full-time, in-person, Monday–Friday, 9 am – 5 pm, at the Greenwich, CT studio.
• Must have reliable transportation and ability to commute to studio and run occasional errands.
