Tantalus Studio is seeking a detail-oriented part-time freelance Bookkeeper to join our team as an independent contractor. This remote role is responsible for managing the day-to-day bookkeeping and financial administration for our interior design studio. Candidates may be based anywhere within the U.S.
This position is ideal for someone who enjoys creating order, values accuracy, and takes pride in maintaining organized financial records. The ideal candidate is proactive, highly trustworthy, and comfortable working independently while communicating effectively with a small, collaborative team.
Tasks include but are not limited to:
- Maintain accurate financial records using Studio Designer accounting software.
- Apply all vendor payments to purchase orders and all client payments to invoices and proposals.
- Prepare and file sales tax returns in Hawaiʻi, California, Washington, and Rhode Island.
- Generate monthly client time billing invoices.
- Prepare all financial documentation required by the company's CPA for annual business tax preparation.
- Assist with Gusto payroll administration, including any employee-related follow up for a team of 1-3 employees.
- Process vendor payments and prepare vendor checks.
- Organize and categorize business expenses and maintain supporting documentation.
- Reconcile bank and credit card accounts on a regular basis.
- Maintain accurate accounts payable and accounts receivable records.
- Assist with month-end financial reconciliations and reporting.
- Identify discrepancies and proactively communicate financial issues requiring attention.
- Maintain organized digital financial records and documentation.
- Communicate professionally with internal team members regarding financial matters.
- Ensure all financial information is handled with strict confidentiality.
The ideal candidate will have experience supporting an interior design or architecture firm. They will possess exceptional attention to detail, excellent organizational skills, and the ability to manage confidential financial information with professionalism and integrity.
Requirements
- 3+ years of bookkeeping experience.
- Previous experience using Studio Designer accounting software is required.
- Strong understanding of bookkeeping principles and accounting best practices.
- Experience managing accounts payable and accounts receivable, including purchase orders, vendor invoices, and client invoicing.
- Experience with project-based billing and time-based invoicing.
- Experience preparing and filing multi-state sales tax returns.
- Experience preparing financial records for CPA review and tax preparation.
- Experience supporting small business owners and entrepreneurial teams.
- Proficiency with Microsoft Excel and/or Google Sheets.
- Excellent organizational, time management, and prioritization skills with the ability to meet recurring monthly deadlines.
- Strong written communication skills.
- High level of integrity and discretion when handling confidential financial information.
- Ability to work independently in a fully remote environment.
