We are seeking a Design Assistant to serve as the organizational engine of our growing studio. This role is centered on logistics, procurement, and the evolution of the practice’s digital operational flow. You will be responsible for keeping the Principal organized and ensuring that all project data is meticulously maintained. We are looking for a professional who is highly proficient in Google Sheets and capable of proposing and implementing digital solutions to streamline our workflow. This role is 50% administrative/logistics and 50% design support.
Responsibilities
Project Organization & Workflow: Maintain and evolve the studio’s Google Workspace. You will be responsible for the real-time accuracy of all project data, ensuring every line item is accounted for and updated. We seek someone who can proactively bring ideas to the table to improve how we digitally organize our workflow across multiple active projects.
Purchasing & Financial Liaison: Work alongside the Junior Designer and our bookkeeping team to execute purchases. You will manage the full lifecycle of every order—generating purchase orders, tracking lead times, and coordinating domestic and international shipping.
Studio Operations: Maintain the studio’s daily flow. Manage the Principal’s calendar, coordinate project travel, and ensure the physical studio environment is organized and functional.
Vendor and Receiver Liaison: Act as the main point of contact for status updates and vendor relationships. Coordinate with warehouses and receivers to ensure all items are accounted for and ready for installation.
Sourcing Support: Visit local showrooms to pull memos and finish samples based on the design team’s direction.
Installation Support: Provide logistical on-site support during installations, managing deliveries and resolving any immediate site or shipping issues.
1 to 3 years of experience in a high-level administrative, operations, or assistant role.
A "no task is too small" attitude and a passion for high-level organization.
Google Sheets Skills: Ability to build and manage complex spreadsheets with a focus on data integrity and project tracking.
Software: Experience with procurement software or an advanced command of InDesign is a plus.
Must have a valid CA driver’s license and a reliable vehicle for local sourcing and job site visits.
Must be local to Los Angeles and able to work daily from our Venice studio.
