Job Description

RESPONSIBILITIES
Scheduling and Team Support:
Manage Creative Director's calendar, including reviewing meeting requests and ensuring no scheduling conflicts; coordinate team schedules to optimize productivity and efficiency.
Organize monthly all-team meetings; Coordinate bi-weekly office happy hours and company outings.
Assist architecture and interior design teams with client meeting preparation.
Book travel accommodations for site visits and installations.
Assist Operations Manager, Finance Manager & Managing Director as needed.

Office Management:
Oversee administrative tasks such as sending packages, organizing messengers, maintaining the sample closet.
Troubleshoot and coordinate office maintenance issues (HVAC, kitchen appliances, etc.) with building management and liaise with cleaning crew.
Order office supplies, snacks, refreshments, and manage inventory levels.

HR Support:
Assist HR Manager with reviewing resumes and scheduling interviews.
Coordinate onboarding and offboarding processes, including exit interviews.
Liaise with recruiters and IT team.
Update and maintain team policies and systems.
Respond to team PTO requests and general HR inquiries.

Job Requirements

REQUIREMENTS
Proven experience as an office administrator, office assistant, or relevant role.
Excellent organizational and time-management skills.
Proficiency in Google Workspace.
Strong communication and interpersonal skills.
Ability to multitask and prioritize tasks effectively.
Knowledge of HR functions and procedures is a plus.

We are seeking a proactive and versatile Team Administrator to join our dynamic team at a fast-paced interior design firm. As the Team Administrator, you will play a crucial role in supporting our Directors and Managers, and ensuring the smooth operation of our office for all team members. The expected pay range for this role is $25-30 per hour DOE.
