Job Description

PCD Studios is looking for an organized and proactive Office Assistant/Administrative Assistant to support our Design Manager and Lead Designer at our cabinetry-focused design firm. This role includes a mix of design team support, office management, vendor coordination, and light personal assisting. Responsibilities include managing project documents, coordinating client meetings, tracking orders, maintaining samples, keeping the office running smoothly, and assisting with scheduling and small personal tasks. We are looking for someone detail-oriented, professional, and eager to help our team deliver an excellent client experience.

Job Requirements

Design Team Support
Organize and maintain project folders, job binders, and digital files.
Collect and catalog client inspiration images, material samples, and specifications from team.
Manage sample ordering, returns, and inventory tracking.
Prepare presentation boards and client packets.
Track design revisions and ensure updated plans and materials from team are shared internally.

Project Coordination
Maintain project timelines, update status sheets, and monitor deadlines.
Coordinate with contractors, suppliers, and installers on lead times and deliveries.
Schedule client meetings, site visits, and internal design reviews.
Assist with job schedules, installation calendars, and change order documentation.

Client Communication & Support
Serve as a point of contact for client questions when designers are unavailable.
Follow up on approvals, selections, and documents from team, if needed.
Send appointment reminders and manage meeting logistics.
Prepare and distribute meeting notes, recaps, and action items in Asana and to team.

Product & Vendor Management
Maintain updated price lists, catalogs, samples, and vendor contacts.
Request quotes and assist designers in comparing options.
Place and track orders for hardware, finishes, and materials, if needed.
Monitor office and showroom stock of supplies, samples, etc.

Administrative & Office Support
Answer phones, greet clients, and manage incoming/outgoing mail and shipments.
Maintain organized digital and physical filing systems.
Assist with invoices, payment collection, and coordination with accounting when needed.
Support marketing tasks including social media, portfolio updates, and photo shoots.
Keep showroom, sample rooms, and office spaces organized and visually appealing.

General Office Responsibilities
Support day-to-day office operations, scheduling, and clerical tasks.
Ensure smooth communication between internal teams, clients, and vendors.
Provide backup support across team
