Office + Design Assistant
Core Responsibilities
Office Assistance:
-Fielding initial client inquiries and outreach
-Assisting with new client onboarding
-General assistance with leads and inquiries via Houzz, email, and phone
-Creating new project folders and maintaining organization in OneDrive
-Assisting with general project projected timeline
-Attending and taking detailed notes at site meetings. Capturing images and general site measurements, and documentation of information for Neela.
-Assisting Neela with general schedule, calendaring, and weekly task projection
-Capture and track all tasks and action items - assign, follow up, and maintain a general understanding of workload for Neela and team
-Diligent upkeep of Project Workbook sheets and file management, including: Task List, Budget, Proposals, Schedules (FFE, Lighting, -Plumbing, Paint, etc), Procurement, and Care Details.
-Keep office stocked with necessary supplies, assist with general errands as needed, and help with general tidying
-Maintenance of in-office sample library - keep bins organized, facilitate returns, and assist in upkeep of sorting per client.
Design Assistance:
-Assist with Moodboard & Presentation creation in Powerpoint
-Requesting quotes, pricing, and product information from trade vendors - ensuring to follow up to keep the project moving forward
-Maintaining good working relationships with our trade and build partners
-Assistance with furniture sourcing and specifying
-Assistance with purchasing, procurement and expediting of approved items
-Project management assistance and correspondence with trade partners and clients as needed
-Installation assistance as needed
Qualifications:
-Legal authorization to work in the United States
-Degree in Interior Design or equivalent experience - We encourage recent graduates or active students to apply!
-1-3 years experience in an Interior Design firm, in an Administrative role or other similar industry
-Proficient in Microsoft Office Suite (Outlook, OneDrive, Excel, Powerpoint, Word). Familiarity with AutoCAD and QuickBooks is a plus but not required.
-BONUS If you can reliably do Drafting, Elevation Drawings, Floor Plans in AutoCAD - This is not required, but a definite plus!
-Ability to reliably commute to Burbank in a Part Time / Hybrid model, exact schedule TBD
-Prompt and Friendly Communication
-An eagle eye for tasks that need attention or follow through, and the gumption to do them autonomously!
-Attention to detail and ability to thoroughly cross-check documentation
-A willingness to ask questions and not be afraid to say when you don't know the answer!
-Eagerness to learn the “behind the scenes” of an interior design studio
-Ability to stay level headed during stressful situations and bring an overall optimistic attitude to work. We are a small team and don’t have time for big egos!
Trial Period:
-If selected to move forward after our interview process, we will engage you for a (1) Month Trial Period. You will be paid for all work performed during this trial period at a flat rate of $25 / hour.
-As mentioned above, this is a Part Time / Hybrid role (Contract 1099). We will determine a recurring office schedule with the chosen candidate.
-The terms of your employment will be determined at the end of the trial period, depending on performance.
-Preference will be put towards candidates with the desire for long term engagement and growth with the company.

We are looking for an experienced and nimble Office + Design Assistant to join our small but mighty team.
The Office + Design Assistant plays an integral role in our project’s success and will be involved in all stages of our operations from start to finish, while working alongside Founder + Principal, Neela. We are a growing team, and for the right candidate, there is potential for this role to evolve and grow over time as we do. Please note, this role primarily revolves around Office Administration (with occasional Design Assistant tasks) - If you are interested in learning the “ins and outs” of the business side of the Interior Design industry, then we encourage you to apply!
Compensation + Terms:
-Trial Period: $25 / hour
-Employment: Depending on your experience and skill set, we will determine a starting hourly rate between $25 - 35 / hour. The average starting hours for this position will be 10 - 15 hours per week. An agreeable schedule will be discussed with you at the end of your trial period if further employment is mutually agreeable.
Hiring Timeline:
-Applications will be reviewed on a rolling basis, starting in mid January 2025.
-We aim to fill this position within January or February 2025.
