Job Description

We are seeking a highly organized, experienced Corporate Bookkeeper/Office Manager to take full ownership of the daily accounting operations across three sister companies: JAMES Showroom, Meredith Ellis Design, and Meredith Ellis Textiles.
This is a full-time, in-office position. We are looking for a dedicated in-house team member — not a remote contractor or accounting agency. If you are an interior design accounting agency, please do not apply.
The ideal candidate is a detail-oriented problem-solver with advanced expertise in Studio Designer and QuickBooks Online, a proven ability to manage multi-entity financials, and a collaborative working style. You will work directly with the principals and sales/design teams to keep our financial operations accurate, current, and well-organized.

Job Requirements

Key Responsibilities

• Manage all Accounts Payable and Receivable across three business entities, including reconciling client payments, daily sales figures, and vendor credits
• Process all payments to vendors via ACH, check, credit card, or international wire; review, reconcile, and pay all freight invoices and international tariff charges with accurate coding
• Calculate and distribute monthly AR invoices for time billing and design fee installments, confirming billable hours with the Principal and capturing all reimbursable client expenses
• Prepare monthly financial reports for ownership to track performance and identify opportunities to improve corporate efficiency
• Serve as the daily/weekly accounting point of contact, working closely with the firm's bookkeeper (monthly reconciliations) and CPAs (annual tax filings) to ensure records are accurate and current
• Liaise with outside contractors including insurance agents, the firms' accounting firm, and benefits providers; assist with health and business insurance filings and reporting
• Track and submit all required business filings and annual reporting obligations across all three entities
• Maintain complete accounting records in Studio Designer and QuickBooks Online; ensure all new inventory is properly entered and accounted for upon receipt
• Support the HR team with payroll processing as needed

Requirements

• Minimum 10 years of bookkeeping or accounting experience, preferably in a multi-entity or design industry environment
• Advanced proficiency in Studio Designer — required
• Advanced proficiency in QuickBooks Online — required
• Advanced Microsoft Office skills, with high proficiency in Excel and Word
• Exceptional organizational ability and attention to detail across concurrent priorities
• Proactive communicator, comfortable working directly with principals and senior team members
• Must work fully in-office; remote arrangements will not be considered
