Job Description:
Elms Interior Design is an innovative, high-end residential interior design firm based in Boston’s South End. We are seeking a full-time, highly organized, and detail-oriented Business Manager to oversee all aspects of financial operations and support to the design team. This role combines daily bookkeeping, operational management, and financial record-keeping, along with supporting the team through procurement, purchasing, invoicing, and reconciliation of client and vendor accounts. While this is not a design position, a strong understanding of the design project process, along with prior experience in a polished, professional setting, is crucial. Expertise in Design Manager or Studio Designer Software is essential to ensuring the seamless flow of our client and vendor relationships.
Key Responsibilities:
Financial Management:
• Manage accounts payable and receivable, payroll, and other financial accounts
• Organize and maintain detailed financial records
• Record daily transactions, including purchase orders, vendor invoices, and operating expenses
• Assist in budgeting, expense tracking, and invoice processing
• Handle employee reimbursements and track receipts for costs of goods sold
Human Resources Support:
• Assist with hiring processes and new hire onboarding
• Support new employees in setting up computer applications, email accounts, and benefits enrollment
• Manage staff schedules, including paid time off (PTO) requests
Administrative Tasks:
• Oversee office supply inventory and ordering
• Manage office licenses, pre-approvals, and insurance paperwork
• Maintain the material and samples library
• Coordinate with IT personnel as needed
• Support marketing and communication efforts as required
Client & Vendor Communication:
• Respond to client and vendor inquiries regarding billing, work dates, services rendered, and work schedules
• Follow up with clients upon completion of invoicing to ensure satisfaction
• Communicate with vendors regarding orders, payments, and deliveries
• Serve as the primary point of contact for external parties such as clients, vendors, and service providers
• Assist with preparing client proposals, purchase orders, product tracking and processing payments
Required Skills and Experience:
• Proficiency in Microsoft Office Suite
• Strong experience with Design Manager or Studio Designer software
• Experience with Dropbox and Adobe Suite is desirable
