A small, high end residential interior design firm in Los Angeles, CA is seeking a part time office manager/bookkeeper to support in a variety of roles. This is an LA-based remote position .
Primary responsibilities include:
-Bookkeeping using QBO: generating reports (PnL and balance sheet), reconciling credit card and bank account statements, ensuring transactions are properly categorized when imported from our billing and project management software
-Payroll using QBO: inputting employee pay each month including mileage and expense reimbursement, tracking PTO and sick days, deducting and applying health insurance premiums, end of year bonuses etc
-401(k) administration: making monthly contributions to company 401(k) program on behalf of employees, completing and filing all plan documents, filling out census information and acting as company representative/liaison with plan administrator
-Monthly client invoicing: generating timesheets and inputting employee hours from timesheets into billing and project management software, tracking mileage and expenses
-Software support: advise company on best practices and troubleshooting related to billing and project management software (we use Ivy but would be open to switching to another interior design software), provide training and liaise with software company to resolve any issues
-Tax support: make monthly sales tax payments to CDTFA, payroll tax payments to IRS and EDD, generate tax liability reports, advise on sales tax related questions, liaise with CPA and business manager to maintain accuracy and timely filing on all tax related matters

-You have 5-10 years of experience working as a bookkeeper and payroll administrator for a small business in California
-You are familiar with the interior design industry and know the intricacies of how sales and services are rendered, what is subject to sales tax, shipping tax, use tax etc
-You are familiar with Ivy or similar project management and billing software, Quickbooks and have experience with the IRS, EDD and CDTFA. 401(k) plan administration is a plus!
-You are detail oriented, focused, meticulous and think one step ahead when approaching a task
-You have strong communication, time management and organizational skills
-You want a flexible schedule and ability to work from home
-You are passionate about design and architecture!
