Augusta Hoffman Studio is seeking an experienced full-time Studio Coordinator / Executive Assistant. As the Studio Coordinator / Executive Assistant, you will play a pivotal role in ensuring the smooth operation of our studio, providing essential administrative and operational support to our design team and, more prominently, to the Principal. Your attention to detail, excellent communication skills, and ability to multitask will contribute to the overall efficiency and success of our projects.
Responsibilities:
- Provide comprehensive support to the Principal, managing their schedule and assisting with personal matters, while ensuring seamless coordination with other high-level tasks.
- Support the Principal and Managing Director with bookkeeping tasks, including expense tracking, accounts payable and financial record management.
- Assist with general administrative tasks, including managing emails, scheduling appointments and maintaining the studio calendar.
- Maintain inventory of design materials, office supplies and samples. Order and restock supplies as needed to ensure uninterrupted workflow.
- Oversee listings and communication regarding our inventory listed on platforms such as 1stDibs and Chairish.
Manage intern recruitment process, from posting job listings and screening candidates, to providing on boarding support and managing their time
- Organize and maintain project files, contracts and other relevant documentation in both physical and digital formats.
- Assist in the planning and execution of client presentations, showroom events, company events and other promotional activities.
- Maintain the overall tidiness and organization of the studio space to create an efficient and welcoming work environment.
- Provide support to the design team members as needed, ensuring they have the resources and information required to excel in their roles.
Qualifications:
- Bachelor’s Degree
- Exceptional organizational and multitasking abilities to manage multiple projects and tasks simultaneously.
- Previous experience in administrative support or coordination roles, particularly in the interior design industry
- Strong verbal and written communication skills, with the ability to interact professionally with prospective and current clients, team members, and vendors.
- Resourceful and proactive problem-solving skills to address challenges as they arise.
- A positive attitude, team-player mentality and the ability to work collaboratively within a creative environment.
- High-level of integrity and dependability
- Detail oriented and extremely organized
- Ability to prioritize and contribute to multiple projects simultaneously
- Confident, proactive, able to anticipate the next steps forward
- A problem-solver and “do-er”; no task is too small
- Proven ability to see a task through to the end
- Ability to work in-person in New York City

Salary: $60,000 - $70,000 commensurate with experience
