Job Description

Julie Hillman Design, an AD100 interior design firm specializing in high-end residential projects, is
seeking a highly organized, proactive, and polished Studio Coordinator to join our team full time.
This role is ideal for someone who operates with a high level of professionalism, communicates
clearly, and maintains composure in all interactions, as they will serve as a key first point of contact
for clients and visitors.

The right candidate is resourceful, detail oriented, and solution driven with a positive attitude and a
strong sense of discretion and integrity. They should be comfortable managing multiple priorities in
a fast paced environment and approach tasks with a thoughtful “can do” mindset.

This role is integral to the day to day operations of the studio, supporting a wide range of needs,
from maintaining an organized and welcoming office environment to coordinating shipments,
managing supplies, assisting with samples, and handling miscellaneous requests as they arise. It is

Job Requirements

Studio & Office Operations
- Oversee the day-to-day operations of the studio, ensuring a clean, organized, and well-functioning environment
- Manage office supplies, deliveries, and inventory, including materials needed for installations
- Coordinate office maintenance, repairs, and vendor services
- Troubleshoot and help resolve issues related to office equipment and general operations

Sample Library & Inventory Management
- Maintain and organize the sample library, ensuring it remains current, well-curated, and accessible
- Track, label, and manage samples and inventory across projects and storage locations

Client & Guest Experience
- Serve as the first point of contact for clients, visitors, and vendors
- Ensure a polished and welcoming studio environment, including preparing for meetings and hosting guests
- Manage phones and general inquiries with professionalism and discretion

Vendor & Project Coordination
- Build and maintain relationships with vendors and coordinate presentations or meetings
- Support project logistics, including scheduling deliveries, pickups, and installation coordination
- Assist the design team with administrative and organizational project needs

Digital & Administrative Organization
- Maintain digital filing systems and internal organization (Google/Dropbox/internal inventory)
- Support internal scheduling, meeting coordination, and general administrative tasks

Marketing, PR & Studio Initiatives
- Assist with website updates, social media content, and press coordination as needed
- Support photoshoots and other studio-related initiatives

QUALIFICATIONS & SKILLS
Proficiency in Microsoft Office Suite & Google Workspace
Excellent organizational skills with strong attention to detail
Clear and professional verbal & written communication skills
Highly proactive, resourceful & solution-oriented
Ability to manage multiple priorities in a fast-paced environment
Comfortable working both independently & collaboratively within a team
