We are seeking a highly organized, systems-oriented Purchasing & Operations Manager to oversee procurement, financial tracking, and order management across multiple high-end residential projects.
This is a critical role within the studio, structured as a part-time position (20 hours per week) with consistent weekly engagement. You will be the operational anchor ensuring that furnishings, materials, and custom pieces move from specification to installation with accuracy, accountability, and financial clarity.
The ideal candidate thrives in detail, anticipates issues before they arise, and takes pride in creating calm through structure.
Key Responsibilities
Procurement & Order Management
Generate and manage all purchase orders for furniture, lighting, materials, finishes, and custom pieces
Liaise with vendors, workrooms, and showrooms regarding pricing, lead times, order confirmations, and freight
Track all orders from placement through delivery and installation
Monitor production timelines and proactively follow up to prevent delays
Coordinate with receiving warehouses and installers to ensure accurate delivery and documentation
Resolve damages, shortages, and vendor discrepancies efficiently
Maintain highly organized procurement documentation and project files
Financial Tracking & Bookkeeping Support
Process vendor invoices accurately and in alignment with purchase orders
Track project expenditures against approved budgets
Maintain clear internal financial reporting for project profitability
Support client billing documentation and reconciliation
Monitor outstanding invoices and vendor payments
Assist with month-end reporting and project close-outs
Studio Operations
Partner closely with the design team to ensure procurement aligns with project schedules
Improve and maintain systems for purchasing workflows and documentation
Maintain discretion and professionalism with all client and financial information
Support process refinement as the studio grows
Who You Are
3+ years experience in purchasing, procurement, or bookkeeping (interior design, architecture, construction, or luxury goods strongly preferred)
Detail-driven and systems-oriented
Comfortable managing multiple high-value projects simultaneously
Highly organized with strong follow-through
Clear, professional communicator
Proficient in spreadsheets and digital financial tracking systems
Calm under pressure and solution-focused
Takes ownership and anticipates needs
