The Wallace Studio is seeking a highly motivated Project & Procurement Manager to support our portfolio of high-end residential interior design projects.
Working closely with the principal designer, this person will take ownership of project coordination and procurement from design development through installation. We’re looking for someone who takes pride in creating a seamless, thoughtful client experience through exceptional organization and clear communication.
While a good eye and appreciation for design are valued, this is not primarily a design role. The ideal candidate is highly detail-oriented and excels at managing complex moving parts, with a strong sense of ownership and the ability to work independently.
As a growing studio, this role offers the opportunity to help develop best practices, improve systems and workflows, and play a meaningful role in shaping the studio’s future.
Keep Projects Moving
• Manage meeting follow-through, action items, scheduling, and communication
• Track project status, deadlines, decisions, and approvals
• Provide regular updates to the design team and clients
• Proactively anticipate what is needed to maintain momentum
Own Procurement
• Prepare client proposals and obtain vendor pricing, lead times, and freight quotes
• Generate purchase orders and process approved payments
• Track orders in Studio Designer from purchase through installation
• Coordinate freight, receiving, storage, deliveries, and installations
• Communicate with vendors, warehouses, logistics providers, and clients
• Maintain organized order documentation
• Resolve delays, damages, backorders, shortages, and vendor discrepancies
Support the Studio
• Support accurate client billing and project financial records
• Maintain the materials library and office organization
• Occasionally pick up or deliver samples and project items
• Identify opportunities to improve procurement systems and workflows
• Bachelor's degree
• 2–5 years of experience in interior design procurement and/or project management
• Experience with luxury or high-end residential interior design strongly preferred
• Proficiency in Studio Designer software is required
• Proficiency in Google Workspace (Gmail, Drive, Sheets, Docs) is beneficial
• Advanced spreadsheet skills and strong comfort working with numbers and financial details
• Exceptional organization, time management, attention to detail, written communication, and problem-solving skills
• Self-motivated, dependable, and comfortable taking ownership of multiple projects independently
• Critical thinking, problem solving, and ability to develop or improve business processes
• Primarily in-office role with flexibility for partial remote work
