Job Description

We are looking for an extremely organized, polished, pro-active team member to manage all client, office and proprietary product purchase orders. Must enjoy working in a creative environment, but not in a creative capacity. Will be responsible for sourcing, ordering, tracking and managing all Studio related orders. Will be responsible for organizing and maintaining materials library and vendor lists. Interest in design and small business a plus. Must have great work ethic and problem solving skills, positive attitude and superb communication skills. This role is the left-brain center hub in a Type-A, right-brained creative office.

Act as purchasing agent for all project related items; proposals, ordering and approvals completed through preferred internal system (IVY)
Request, mange and track quotes/orders from all vendors, managing pricing, leads times and shipping confirmations; prepare weekly report out to partners and clients
Request, manage and reconcile all client and vendor payments; tracking client budgets and invoices
Work monthly with accounting department to reconcile all internal and client receipts and to assist in balancing books
Manage and coordinate warehouse delivery/storage/installation for all project related items; maintain warehouse inventory lists
Manage and create vendor library; tracking all pertinent details, scheduling regular update meetings and maintaining product line details
Order and catalog all finish samples and fabric swatches; manage complete materials library and maintain all corresponding details
Able to manage (willing to learn) international deliveries and provide all necessary documents for upcoming shipments to customs broker
Manage internal orders for maintenance of Studio
Manage subcontractor list(s); organize site visits and client installation appointments
Able and willing to tackle challenges with a can-do attitude and problem solving mindset; seek solutions to internal road-blocks and create simple processes to resolve

Job Requirements

-3+ years of experience in purchasing or procurement; office administration experience a plus
-EXTREMELY organized, lives for spreadsheets and processes, able to manage complex timelines and details; detail-oriented, quality and precision-focused; ready to work in a fast -paced, creative environment; open to feedback
-Experience with Quickbooks and reporting to accounting functions
-Proficient in Microsoft Office + Google Suite; experience with IVY and familiarity with CAD a plus
-Willing and able to work occasional off-beat hours
-Must be a natural relationship builder
-Must have a polished and personable communication style and appearance
