Job Description

• Provide high level personal assistance support to the founders and CEO to manage corporate and personal projects and tasks
• Manage the logistics of events and speaking arrangements, including coordinating travel arrangements, accommodations, and scheduling
• Partner with CEO to track and ensure completion of key project milestones
• Coordinate complex scheduling and calendar management, as well as content and flow of information and providing recommendations about time management
• Assist with sourcing, scheduling, and coordinating contractors and vendors to complete household projects
• Ensure assets are maintained (i.e., vehicles, cataloging storage units/containers, organizing, and maintaining accurate information on Founders personal collections of home furnishings and samples, etc.)
• Manage gift giving arrangements and delivery
• Take accurate and comprehensive notes at meetings
• Support lunch order submissions and pick-up arrangements
• Run errands and deliver packages, as needed (i.e., pick-up dry cleaning, complete laundry tasks, etc.)
• Oversee household related bills and payments
• Perform other duties, as requested

Physical Requirements
• Operate in a residential and professional office environment
• Able to perform physical, hands-on tasks in order to assist the household and/or office staff.
• Must be able lift and/or carry up to 15 pounds
• Moderate noise level ( i.e., business office with computers, phone, printers and light traffic)
• Prolonged periods of walking and/or sitting

Job Requirements

Key Qualifications
• Minimum 3 or more years of direct Executive Assistant or Personal Assistant experience required
• Flawless execution of complex administrative activities, with high attention to detail, organization and process
• Ability to provide service-oriented white glove support
• Advanced proficiency in Microsoft Office Suite (Outlook, Word, and Excel)
• Reliable transportation and the ability to travel between Richmond and Marin County, CA, as needed
• Aptitude for learning new software’s and systems
• Professional communication and interpersonal skills
• Ability to multi-task, work independently and/or within a team
• Committed to excellence, high-quality and integrity centered work performance
• Ability to prioritize, maintain confidentiality, and operate with patience and integrity in a rapidly changing environment is required
