The Office Manager is the operational hub of our studio, responsible for managing daily studio logistics, providing high-level administrative support, and ensuring a seamless environment for our Principal, operations and design team. This role combines hands-on facility management with team coordination, executive support, and client-facing professionalism.
The ideal candidate brings exceptional organizational skills, a proactive and resourceful approach to problem-solving, and a polished demeanor suitable for a high-end brand. This individual will play an important role in keeping our growing studio running efficiently and smoothly on a daily basis. We are open to this role being either a full time or part time (20-30 hours per week) position for the right candidate. Please note, this is a business operations role, not a design position.
Project & Studio Responsibilities:
- Maintain the sample library/inventory, handle design center returns, manage office supplies/mail, and act as the main landlord contact.
- Support the design team with errands (sample pickups/deliveries), installation setups, punch lists, and professional photoshoot scheduling.
- Directly assist the Principal with travel coordination, email management, and errands.
- Manage the firm calendar, coordinate vendor lunch-and-learns, and handle client/team gifting and events.
- Maintain business licenses, manage insurance renewals, and assist with general office paperwork.
Operational & Professional Skills:
- Highly organized, productive, and able to prioritize tasks effectively in a fast-paced, high-end environment.
- Exceptional verbal and written communication skills with a professional, polished demeanor suitable for a high-end luxury brand.
- A strong “can-do” attitude with exceptional attention to detail and a willingness to jump in wherever needed.
- Ability to work seamlessly across teams, serving as a reliable resource for both leadership and design staff.
- Proficiency in Google Workspace. Experience or familiarity with tools utilized in a creative services studio environment is a plus.
Job Requirements:
- Previous experience in an office management, studio coordination, or administrative role. Experience within a creative professional services, design, or architecture firm is preferred.
- Associate's or Bachelor's degree preferred, or equivalent professional experience.
- A valid driver's license and reliable transportation for local errands (sample pickups, post office runs, site visits).
- Open to both full-time and part-time applicants. For part-time candidates, a consistent schedule of 3 to 4 days per week (or specific core daily hours) is preferred to ensure studio coverage.
