Job Description

Augusta Hoffman Studio is seeking an experienced, motivated Executive Assistant. As the Executive Assistant to the Principal, you will play a pivotal role in ensuring the smooth operation of our studio, providing essential administrative and operational support to the Principal. Your attention to detail, excellent communication skills, and ability to multitask will contribute to the overall efficiency and success of our projects. This role will involve providing executive and personal assistance to the Principal, coordinating these tasks in conjunction with other high-level responsibilities and aiding the studio to perform to its greatest capacity.

Responsibilities:
• Provide comprehensive support to the Principal, managing their schedule and assisting with personal matters, while ensuring seamless coordination with other high-level tasks.
• Assist with general administrative tasks, including managing emails, scheduling appointments and maintaining the studio calendar.
• Support the Principal with bookkeeping tasks, including expense tracking, accounts payable and financial record management.
• Organize and maintain project files, contracts and other relevant documentation in both physical and digital formats.
• Maintain inventory of design materials, office supplies and samples. Order and restock supplies as needed to ensure uninterrupted workflow.
• Assist in the planning and execution of client presentations, showroom events and other promotional activities.
• Maintain the overall tidiness and organization of the studio space to create an efficient and welcoming environment.
• Oversee listings and communication regarding our inventory listed on platforms such as 1stDibs and Chairish.
• Provide support to the design team members, ensuring they have the resources required to excel in their roles.

Job Requirements

Qualifications:
• Bachelor’s Degree
• Previous experience in administrative support or coordination roles, particularly in the interior design industry
• Intellectual and creative curiosity, love of design and/or commitment to learn
• Strong writing and communication skills essential
• Highly dependable, responsible, and ethical
• Impeccable etiquette, poised and polished with a professional mindset
• Demonstrated ability to communicate with co-workers and business contacts in a highly professional manner
• Detail oriented and extremely organized
• Ability to prioritize and contribute to multiple projects simultaneously
• Confident, proactive, able to anticipate the next steps forward
• A problem-solver and “do-er”; no task is too small
• Proven ability to see a task through to the end
• Ability to work and cooperate in a team environment, but also capable of working independently
• Ability to work in person in New York City
