Job Description: Procurement Coordinator
Job Location: Hybrid (Marin, CA & Remote)
The Procurement Coordinator plays an integral role in the successful execution of our projects, with primary responsibility for managing furniture and product procurement from concept through installation. This role reports directly to Owner + Principal Designer, Kimberly Rider. You will collaborate closely with the design team during concept development and carry projects forward through ordering, tracking, and delivery.
This is a part-time position averaging approximately 20 hours per week.
Core Responsibilities:
-Participate in concept design phases to track approvals, record specifications, and prepare items for procurement
-Enter and manage all furniture and product items in Programa
-Create, update, and maintain furniture schedules and procurement schedules
-Prepare estimates, confirm pricing, and track lead times
-Issue Purchase Orders through Programa
-Manage expediting and follow up with vendors to ensure timely deliveries
-Request quotes, pricing, and product information from trade vendors
-Maintain strong working relationships with vendors, workrooms, and build partners
-Track approvals and ensure accurate documentation across all procurement activities
-Assist with organization of project details in Basecamp
-Support installation preparation by confirming orders, deliveries, and outstanding items
-On site installation support as needed
Qualifications:
-2-4 years experience in an interiors firm or similar creative industry, with procurement experience preferred
-Strong organizational skills and comfort managing multiple orders across multiple projects
-Proficiency in Programa, Basecamp and Google Suite (Google Drive, Google Sheets, Google Docs); experience with procurement software a plus
-High attention to detail and thorough documentation practices
-Clear, prompt, and friendly communication style
-Ability to track many moving parts while staying calm and solution-oriented
-Proactive mindset with an eye for follow-through and accountability
-Ability to stay level headed during stressful situations and bring an overall optimistic attitude to work
Trial Period:
-If selected to move forward after our interview process, we will engage you for a (1) Month Trial Period. You will be paid for all work performed during this trial period at a flat rate of $30 / hour.
-The terms of your employment will be determined at the end of the trial period, depending on performance.
-Preference will be put towards candidates with the desire for long term engagement and growth with the company.
Compensation + Terms:
-Trial Period: $30 / hour
-Employment: The estimated range for this position will be between $30 - 50 / hour (dependent on experience). This will be discussed with you at the end of your trial period if further employment is mutually agreeable.
