Job Description

Coco to the Trade is seeking a Quoting and Procurement Coordinator to prepare accurate, timely quotes and proposals, create purchase orders and place orders for our interior design clients. This is a fast-paced role that combines product research, pricing, vendor communication, order placement and customer service. Success requires precision, strong organization, sound judgment, and the ability to manage multiple requests without letting details slip. The day-to-day work is administrative and analytical rather than creative design work. A professional or educational background in interior design, furniture, home furnishings, or a closely related field is required so you can understand the specifications, materials, finishes, customization options, and terminology behind each request. The role does not involve AutoCAD, SketchUP, or rendering.

Responsibilities include:

Develop comprehensive knowledge of more than 100 vendors offering furniture, lighting, accessories, upholstery, and other home furnishings, including their policies and procedures.

Research and verify product specifications, pricing, availability, lead times, freight, surcharges, and special-order requirements.

Communicate directly with vendor representatives to obtain information and resolve pricing or specification discrepancies.

Calculate customer pricing using vendor costs and Coco's internal pricing guidelines.

Prepare clear, accurate, and timely pricing responses by email when a formal proposal is not required.

Create detailed, client-facing proposals in Ivy, ensuring that all details are entered and presented accurately.

Respond promptly and professionally to designer questions and revisions.

Coordinate with the Coco team throughout the quote-to-order process to ensure all necessary information and approvals are in place.

Convert approved proposals into accurate purchase orders and place those orders directly with vendors.

Job Requirements

Impeccable attention to detail and a commitment to accuracy are essential.

The ideal candidate:

Brings experience in procurement, purchasing, or quoting, including work with vendor catalogs, price lists, furniture specifications, COM, and custom orders. Experience in these areas is strongly preferred.

Is experienced with the interior design business, project management, quoting, or procurement software. Experience with Ivy is a plus.

Is proficient in Microsoft 365, including Teams, Excel and Outlook; Google Workspace, particularly Google Sheets and Airtable.

Learns quickly, takes thorough notes, retains vendor-specific product and process information, and applies prior training without requiring repeated instruction.

Manages a high volume of requests and competing deadlines with strong organization and follow-through.

Takes ownership of responsibilities, exercises sound judgment, and moves work forward independently while knowing when to ask for clarification.

Recognizes patterns, anticipates questions, and identifies potential problems early.

Communicates confidently and professionally with designers, vendors, and colleagues, including when offering constructive feedback or alternative solutions when appropriate.

Is resourceful and looks for opportunities to improve accuracy, efficiency, and internal processes while remaining attentive to individual details.

Learns new technology readily and adapts as systems and processes change.
