Key Responsibilities
Bookkeeping & Financial Management:
- Reconcile bank statements, credit card accounts, and client invoices.
- Maintain accurate financial records, including journal entries, expense tracking, and vendor payments.
- Prepare monthly, quarterly and annual financial reports (e.g., profit and loss statements, balance sheets).
- Assist with budgeting, forecasting, and tracking project-specific financial performance.
- Process payroll and maintain employee records.
- Handle tax filings and liaise with external accountants for taxes and EOY reporting.
- Track project-related expenses manage vendor payments and invoicing in partnership with the FF&E team.
Office Administration:
Order and manage office supplies, ensure office is organized and well-stocked.
Manage files management, ensuring digital and physical files are organized and well maintained, experience with ShareSync a plus.
Assist Chief of Staff with onboarding new employees and freelancers and maintaining proper documentation.
Maintain office calendar and time off tracking.
Coordinate officewide events with Chief of Staff.

Qualifications:
- Bachelor’s degree required, in business administration, accounting, or related field preferred.
- Minimum 2-3 years of bookkeeping and office administration experience. (experience in an interior design or creative environment is
required).
- Proficiency with bookkeeping software (e.g., QuickBooks) and Microsoft Office Suite (Word, Excel, Outlook).
- Experience with expenses management software such as Expensify is a plus.
- Strong organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- A keen eye for detail and accuracy in financial management.
- Ability to work independently and take initiative.
- Strong time management skills.

We are seeking a highly organized and detail-oriented Bookkeeper and Office Assistant to support our Architecture and Interior design firm. The ideal candidate has experience in bookkeeping, excellent communication skills, and a passion for working in a creative, fast-paced environment. This role will work closely with the Chief of Staff and Principal/Owner.
