The Design Operations Coordinator plays a vital role in supporting the firm’s design projects and overall business functions. This position combines administrative, financial, and operational responsibilities, along with broad office and general design coordination, to ensure seamless day-to-day operations and effective support across the studio and is responsible for overseeing in-house bookkeeping and accounting functions, coordinating projects, and assisting with human resources tasks. They work closely with The Studio Operations Manager to facilitate success in overall operations. Flexibility and adaptability are key, as the role requires handling unexpected tasks that may be client-related or operational, maintaining the firm’s high standards of service and efficiency.

Job Requirements

Bookkeeping and Accounting:
- Manage daily financial transactions, including invoicing and accounts payable/receivable.
- Prepare and maintain financial reports and budgets.
- Reconcile bank statements and ensure accuracy of financial records.

Project Coordination:
- Oversee project timelines, deliverables, and collaboration among team members.
- Ensure effective communication and coordination across departments to achieve project goals.
- Monitor project progress and provide regular updates to stakeholders.

Human Resources Assistance:
- Support HR functions including recruitment, onboarding, and employee engagement initiatives.
- Maintain employee records and assist with payroll processing.
- Help organize training and development programs for staff.

Administrative Support:
- Assist in the development and implementation of operational policies and procedures.
- Perform general administrative tasks to support the team, including scheduling meetings and managing office supplies.
- Foster a positive work environment by promoting teamwork and collaboration.

Qualifications:
- Bachelor’s degree in Business Administration, Accounting, or a related field is preferred and experience in working in the design field, a plus
- Proven experience in bookkeeping, accounting, or operations management.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Proficiency in accounting software
Familiarity with project management software (e.g., Asana, Studio Designer) and Microsoft Office Suite
