Job Description

Must be interested in a design assistant position. Must have experience.

The Design Assistant will support the Principal and Project Managers. This person will fully participate in every step of the design process. Your responsibilities will vary from day-to-day, but are likely to include the following:

- Answer the main office phone line.
- Maintain office Calendar. Update calendar with client meetings, vendor meetings, site visits, installs, trade visits, internal meetings, etc. Email all clients and trades 24 hours before meeting/event to confirm details.
- Accept office deliveries and packages.
- Field new client inquiries and take initial discovery phone calls.
- Maintain a daily log of client-related activities for Time Billing.
- Enter Principal's daily Time Billing activities.
- Send monthly Time Billing Invoices.
- Work with Project Managers and Principal to invoice clients post install in a time-sensitive manner.
- Maintain and organize project digital files, images, photos and project samples.
- Contact vendors, order samples, collect and document pricing.
- Order office supplies.
- Enter pricing, notes and tracking into Studio Designer project management software.
- Help maintain updated digital files in both Studio Designer software and Google Sheets
- Daily tracking and logging of purchased items.
- Requesting Memo samples for client projects/ responsible for organization of design library.
- Organize and maintain the library, including organizing samples and materials and returning samples and materials no longer in use.
- Assist with project installations and photo shoots
- Update Principal Pinterest page.
- Coordinate and meet with movers, installers and couriers.
- Other duties as needed.

Our Design Assistant should be professional, organized, personable, self-motivated, detail-oriented and comfortable multitasking and working on a deadline. A flexible team player who excels in a fast-paced environment and displays discretion, integrity, and a thirst for learning will succeed in this position.

Skills essential to success in this position include:
- Excellent presentation and communication skills
- The ability to work well in a collaborative setting but must also be able to work independently and proactively without supervision using tact and discretion.
- Highly organized, accurate, and neat in all aspects of the job.
- Works well under pressure; able to multitask, prioritize, and consistently meet deadlines. Able to follow through on multiple projects with both short-term and long-term objectives

Melissa Colgan Interiors is a residential design firmed based in Washington DC, with projects up and down the East Coast. Our office is in historic Georgetown. Our clients seek us out for our ability to distill their ideas and style into highly individual designs, creating interiors that are engaging, spirited and layered with purposeful details.

Additional details:
Hours: 40 hours per week
9am-5pm
Every-other-Friday is a work-from-home day but employees must still be available locally to do site visits, project related errands, or client meetings as needed.

- We take off the days between Christmas and New Years Day (an additional 4-5 days depending on how the days fall in any given calendar year)
