Job Description

Customer Communication
• Respond promptly and professionally to incoming phone calls and emails
• Maintain clear communication with clients, showrooms, and internal teams

Order & Reserve Management
• Prepare quotations and process customer orders
• Manage open reserves and proactively convert them into firm orders
• Track expiring reserves and follow up with clients before expiration

Order Monitoring & Coordination
• Monitor order progress, backorders, and delivery timelines
• Manage delivery expectations and coordinate with internal departments
• Resolve shipping and logistics issues to ensure timely delivery

Client Support & After-Sales Service
• Handle client inquiries, questions, and complaints
• Ensure a high level of client satisfaction throughout the entire order process

Payments & Account Monitoring
• Process client payments accurately and in a timely manner
• Monitor orders and accounts for potential issues and resolve them proactively

Operational Support
• Act as a liaison between showrooms, clients, and our Germany headquarters
• Assist with team coverage during absences and support sample entry tasks when needed
• Maintain accurate records of client communication and order activity

Job Requirements

Qualifications:
• Experience in customer service, sales support, or order management
• Strong communication and organizational skills
• Highly customer-focused and solution-oriented
• Comfortable working in a remote and international team environment
• Proficiency in M365 | MS Office
• Experience with ERP systems (Navision preferred) is a plus
• Ability to manage multiple tasks while maintaining attention to detail
• A proactive and self-motivated approach, with the ability to work both independently and as part of a team

We are looking for a Customer Service Representative to support our clients, showrooms, and internal teams while ensuring a smooth order process from inquiry through delivery. This role is primarily remote, with the option to work from our New York showroom if desired.

You will work closely with our showroom teams, clients, and colleagues at our Germany headquarters to maintain excellent service and strong long-term client relationships.
