Job Description

Ryan Lawson, LLC is seeking a full-time Studio Operations & Procurement Coordinator for its Manhattan-based interior design studio. This in-person role will serve as an operational anchor, keeping billing, procurement, logistics, and internal workflows organized and moving.

The ideal candidate is meticulous, proactive, discreet, and accountable. They anticipate needs, communicate clearly, manage multiple priorities without dropping details, and manage up effectively.

Core responsibilities include:

Billing & Financial Coordination
- Prepare FF&E and hourly billing, reimbursable expenses, backup documentation, and draft billing emails
- Manage the billing queue and coordinate priorities with the team
- Maintain billing and payment records in Houzz Pro and prepare information for the bookkeeper
- Support monthly close with leadership and the bookkeeper

Procurement, Logistics & Installation Coordination
- Manage post-sourcing FF&E procurement from approved proposal through delivery
- Prepare purchase orders, payment requests, and related documentation
- Manage vendor communication, trade accounts, and order tracking
- Coordinate shipping, customs, receiving, storage, delivery, and installation
- Maintain inventory records for vintage pieces, art, antiques, samples, and related items

Studio Operations & Administrative Support
- Support day-to-day studio operations: mail, shipping, supplies, phone coverage, and office organization
- Maintain digital filing systems and consistent procedures
- Interface with the design team to align priorities and anticipate project needs
- Support internal meetings by coordinating scheduling, agendas, and follow-up items
- Support the materials library, presentation preparation, and administrative needs of the Principal
- Identify and implement improvements across studio operations, billing, and procurement

This position offers the potential to grow into a Studio Operations & Procurement Manager role.

Job Requirements

Required qualifications include:
- Meticulous, detail-oriented, and able to manage multiple priorities without dropping details
- Proactive self-starter who anticipates next steps and flags issues early
- Discreet and trustworthy with confidential financial, vendor, and client information
- Personally accountable, with ownership of process, outcomes, and follow-through
- Skilled at managing up, communicating clearly, and keeping leadership appropriately informed
- Learns new software quickly; comfortable with spreadsheets, budgets, and digital organization
- Excellent written and verbal communication skills
- Thrives in a small, fast-moving, high-standard studio

Preferred qualifications include:
- 2+ years in operations, procurement, project coordination, or administrative/executive support, preferably in a design or client-service setting
- Experience with FF&E procurement, trade accounts, receivers, warehouses, shippers, customs, or white-glove delivery
- Familiarity with Houzz Pro, Harvest, QuickBooks, or similar platforms
- Understanding of interior design project phases and inventory systems
- Bachelor’s degree in business, design, art history, arts administration, or a related field

Success in the First 90 Days:
- Take ownership of billing and procurement workflows, with clear systems for tracking priorities, open items, and next steps
- Establish a reliable rhythm with leadership and the bookkeeper for billing preparation, payment records, and monthly close
- Improve FF&E order tracking from placement through delivery
- Reduce billing tasks, procurement follow-ups, and operational questions routing through the design team
- Build strong working relationships with key vendors, receivers, delivery partners, warehouses, brokers, and trade contacts
- Identify and implement at least one workflow improvement that reduces friction in studio operations, billing, or procurement
