Position Overview
The Studio Manager is the backbone of the studio, supporting office management, procurement coordination, and administrative workflows while assisting with select marketing and studio initiatives. Working closely with the Operations Manager and Principal, this person will help ensure projects, vendors, orders, and internal processes stay organized so the team can operate efficiently, deliver an exceptional client experience, and execute projects successfully from start to finish.
Responsibilities
Studio Management
-Manage the day-to-day operations of the studio and maintain organized administrative systems.
-Maintain office organization, supplies, equipment, and resources.
-Prepare the studio for client meetings and presentations and serve as the first point of contact clients and vendors.
-Oversee office inventory and ensure supplies, refreshments, and studio essentials are consistently stocked and maintained.
-Help establish and improve systems and processes that support a growing business.
-Support presentations, proposals, and client-facing materials.
-Coordinate photography, portfolio organization, and project submissions.
Procurement & Vendor Coordination
-Track and manage furnishings, materials, samples, and project-related orders.
-Create and maintain FF&E schedules and procurement documentation.
-Coordinate sample orders and maintain organized materials libraries.
-Coordinate with vendors, suppliers, workrooms, contractors, receivers, and installers regarding pricing, lead times, deliveries, and project logistics.
-Assist with resolving order discrepancies and vendor issues.
-Help ensure project information remains organized and up to date across platforms.
-Support accurate record keeping and provide timely status updates throughout the procurement process.
Qualifications
-3+ years of experience in office management, operations, procurement, or administrative support, preferably within the interior design, architecture, construction, or luxury residential industry.
-Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
-Strong communication skills, a proactive, solutions-oriented approach and the ability to work independently.
-Comfortable learning and utilizing project management, procurement, and creative software platforms.
-Familiarity with procurement processes, FF&E schedules, project logistics, and marketing support for a creative business is preferred.
