Core Responsibilities
– Manage FF&E procurement from specification through delivery and installation using Studio Designer
– Prepare proposals, purchase orders, invoices, and related procurement documentation
– Obtain and verify vendor quotes, pricing, freight, lead times, specifications, and acknowledgements
– Track orders, production schedules, COM/CFA requirements, samples, and key procurement details
– Coordinate receiving, warehousing, shipping, white-glove delivery, and installation logistics
– Review orders and resolve damages, returns, discrepancies, and warranty claims
– Serve as the primary contact for vendors, suppliers, workrooms, fabricators, warehouses, and delivery partners
– Maintain strong trade relationships and stay informed on vendor lead times
– Coordinate with contractors, subcontractors, and receiving teams to support schedules, deliveries, and installations
– Set up projects, maintain organized files, and update FF&E schedules and installation calendars
– Coordinate with the design team to keep selections aligned with design intent, budget, and timelines
– Identify and resolve issues proactively, escalating only when necessary
– Support invoice reconciliation and project account coordination
– Run local errands using own vehicle and assist with light lifting as needed
Candidate Profile
– Experienced in high-end residential interior design procurement and familiar with the luxury trade ecosystem
– Self-directed, mature, and able to manage responsibilities with accuracy and limited oversight
– Highly organized, detail-oriented, and committed to timely follow-through
– Calm, resourceful, and proactive in resolving issues before they escalate
– Professional, pleasant, and courteous in all communications with clients, vendors, and trade partners
– Collaborative and respectful of both operational structure and the creative process
Qualifications
– 3+ years of procurement, purchasing, or design operations experience in high-end residential interiors
– Proficiency in Studio Designer for proposals, purchase orders, and procurement tracking
– Strong knowledge of FF&E procurement, vendor relationships, and luxury residential trade practices
– Highly organized with strong time-management, follow-through, and communication skills
– Proficiency in Microsoft Office; ability to read architectural drawings a plus
– Valid driver’s license, reliable vehicle, and current auto insurance
– Legal authorization to work in the United States
