Job Description

Julie Hillman Design, an AD100 interior design firm specializing in high-end residential projects is seeking an experienced Procurement Manager to join our team.

The Procurement Manager oversees purchasing, vendor coordination, payments, and delivery logistics for JHD projects.We are looking for someone who is extremely organized, detail-oriented, resourceful, and proactive, with strong written and verbal communication skills. The ideal candidate is comfortable managing many moving pieces at once and takes ownership of following tasks through to completion. Experience in interior design and luxury residential design is required. Familiarity with the interior design procurement process and working with trade vendors is also required. Knowledge of Design Manager is a plus.

Job Requirements

Key Responsibilities

Purchasing & Order Management
- Manage procurement from purchase through delivery, prioritizing long-lead items and outstanding purchases according to project schedules.
- Create and maintain accurate purchase orders in Design Manager; verify specifications, pricing, shipping addresses, sidemarks, against vendor invoices and project trackers.
- Confirm availability, pricing, and lead times before payment and obtain vendor confirmation of payment receipt and production.
Keep project trackers current, including payment status, lead times, and production status, in coordination with the design team.

Payments & Expense Management
- Manage vendor payments verifying deposits and balances against purchase orders and client billing.
- Coordinate payment processing and approvals, accounting for accepted payment methods and transaction fees.
- Record payments and expenses accurately in Design Manager and maintain organized invoices, receipts and payment records.
- Notify the Controller of cost increases, payment discrepancies, and reimbursable expenses to ensure accurate client billing.

Design Team & Vendor Coordination
- Maintain strong vendor relationships and timely communication with designers regarding specifications, order progress and expediting needs.
- Ensure vendors receive the information needed to meet project schedules.
- Coordinate resolution of order discrepancies, production delays, and other procurement issues, escalating concerns to leadership as needed.

Freight & Delivery Logistics
- Coordinate shipping estimates, compare costs and service options, and manage delivery schedules with vendors, shippers, and receiving facilities.
- Confirm project identification and condition-report requirements for incoming deliveries, and follow up on receipt and inspection.
- Manage delivery issues and damage claims through resolution.
- Oversee international shipping documentation and coordinate with customs agents on duties
