Procurement Coordinator
Company: Stollar Fearins Welch
Duration: Full-time
Date Posted: 10/07/26
Category: Interior Design
Location: New York
Salary: 50-100k
Job Description

Stollar Fearins Welch, a collaborative architecture and interior design studio in NYC, is seeking a procurement coordinator to join our team and support the procurement workflow, vendor relationships, billing coordination, and day-to-day logistics for their luxury residential projects. This position is best suited to someone who enjoys operations, procurement, project coordination, and creating experiences behind the scenes, ensuring design intent is executed flawlessly from order placement through delivery and installation. While you'll be involved in the daily operations of a high-end residential firm, working closely with the design team, this is not a creative design role. Instead, it's an opportunity to become an indispensable partner in delivering well-executed, thoughtfully designed projects. You will work closely with designers and vendors to manage purchasing timelines, track orders, and maintain accurate records.

Candidates should have 3+ years related experience, exhibit strong efficiency and organizational skills, and be able to contribute to a fast-paced, creative office. Experience working in an architecture and interior design firm is a plus. You bring the enthusiasm, we’ll bring the fun.

PRIMARY JOB RESPONSIBILITIES INCLUDE:
- Prepare and process purchase orders for furniture, fixtures, finishes, and accessories
- Coordinate with designers to confirm specifications, pricing, and lead times
- Communicate with vendors regarding order status, backorders, damages, and deliveries
- Track all orders from placement through final delivery and installation
- Review vendor acknowledgements, invoices, and freight documentation for accuracy
- Maintain procurement logs, schedules, and project documentation
- Coordinate receiving, warehousing, and white-glove delivery as needed
- Assist with resolving order discrepancies, damages, or returns
- Support the design team with procurement-related reporting

Job Requirements

QUALIFICATIONS:
- 3+ years of procurement, purchasing, or order management experience (interior design, architecture, or luxury retail preferred)
- Strong organizational skills and exceptional attention to detail
- Experience working with vendors and managing multiple orders simultaneously
- Proficiency in Microsoft Office; experience with Houzz Pro a plus
- Clear, professional communication skills (written and verbal)
- Ability to manage deadlines in a fast-paced, detail-oriented environment

About our Company

Stollar Fearins Welch is a Manhattan-based architecture and interiors firm known for creatively inspired spaces that express warmth, personality, and style in equal measure.

Founded by three born-and-raised Southerners turned New Yorkers, our studio takes a lifestyle approach to each project, considering how you’ll be living in your home and how it will make you feel. Our aesthetic has been described as lived-in luxury, with a layered mix of vintage, new, and custom furnishings, but we like to put it more simply: Our work makes you happy.

In a Stollar Fearins Welch residence, nothing is too precious, but everything is special. Rather than imposing restrictions on how you live in your home, our designs open new possibilities. We don’t want to overstate things, but clients have told us that our work has inspired change in their relationships and even their parenting. For us, there’s no greater compliment.

Collaborative by nature, we welcome clients seeking a design partner that can deftly balance intuition and rigor while making the entire process feel effortless. We invite big ideas. We embrace ambition.

Our work has been featured in Architectural Digest, Luxe, Cottages and Gardens, Elle Décor, and House Beautiful, among other publications.
