Job Description

A well-established boutique high-end residential interior design firm in Manhattan is seeking an experienced, detail-oriented professional to manage the financial and operational functions of our busy studio. This role works directly with the Principal and Design Director and is essential for maintaining the firm's financial and administrative efficiency. Familiarity with the interior design process and proficiency in Design Manager software are strongly preferred.

While the position is preferred for full-time, part-time work if desired can be discussed.

Job Requirements

Finance & Bookkeeping:
-Financial reconciliations, general ledger entries, preparation/review of financial reports
-Monitor bank and credit card accounts; manage cash flow and send weekly updates to leadership
-Prepare monthly/quarterly sales tax reports, W-9/1099 records, and year-end documents for CPA
-Process PO payments, all operational bills, tax payments as directed by CPA
-Liaise with bank on account matters and troubleshooting

Design Manager:
-Set up new projects with accurate tax codes, addresses and fees per Service Agreements
-Invoice clients, record payments, and maintain data for the Design Director's quarterly projections
-Bank and credit card reconciliations, biweekly payroll entry, and checkbook maintenance

Office Administration:
-Process biweekly payroll; administer workers' comp, disability, PTO, and time-off tracking
-Onboard new hires: W-4, health coverage, office manual, and HR compliance documents
-Monitor and renew all business insurance policies with timely payments
-Assist Principal and Design Director with Service Agreements and general admin support
-Answer phones, manage correspondence, and provide personal support to the Principal when required

Technology Support:
-Serve as the go-to resource for day-to-day tech needs
-Adept at adopting new technology- AI, social media
-Work with IT consultant on computer issues- logins, connectivity, software
-Coordinate with external service providers on domain renewals, website hosting

What We're Looking For:
-Proven solid grasp of bookkeeping experience
-Proficiency in Design Manager is a preferred priority and interior design industry experience a plus
-Comfortable with technology and able to handle basic IT troubleshooting independently
-Exceptionally organized, reliable and discreet - this is a high-trust role
-Proactive communicator who keeps leadership informed and ahead of issues
