Job Description

White Label Interiors is seeking a Studio Operations Coordinator to partner closely with the Principal and help run the day-to-day operations of our residential design studio. This role supports the creative work of the studio by ensuring projects move forward smoothly, priorities remain clear, and the operational backbone of the business stays organized.

The position blends executive support, workflow coordination, and studio operations, and is ideal for someone who enjoys building systems, anticipating needs, and helping a fast-moving creative business stay focused and effective.

You will play a central role in helping the studio stay organized, proactive, and moving forward.

Key Responsibilities

Principal & Executive Support
• Manage the Principal’s calendar, scheduling, and meeting coordination
• Prepare the Principal for meetings, travel, and key decisions
• Triage communications and track follow-ups
• Anticipate needs and help protect focus time

Workflow & Project Coordination
• Maintain the studio’s project management system (Notion or similar)
• Ensure tasks, deadlines, and responsibilities are clearly tracked
• Convert meetings, emails, and conversations into actionable tasks
• Track project timelines, milestones, and internal handoffs
• Monitor vendor communication, shipments, and returns

Systems & Documentation
• Maintain organized files and studio documentation
• Update the White Label Interiors Operations Handbook
• Document recurring workflows, templates, and processes
• Support team adoption of systems and task tracking

Studio Operations
• Coordinate shipping, sample tracking, and returns
• Maintain office supplies, sample organization, and storage systems
• Ensure the studio is organized for team collaboration and client meetings
• Assist with occasional installs, studio logistics, or team events

Job Requirements

Required Qualifications
• 3–5+ years of experience in a residential interior design studio or similar creative service environment
• Experience supporting a busy founder, principal, or executive
• Strong organizational and time-management skills with the ability to manage multiple active priorities
• Clear written and verbal communication skills
• Proficiency with Google Workspace
• Experience using a project management system (Notion preferred)
• Comfortable working in a fast-paced, small-team environment
• Valid driver’s license and ability to travel locally to the studio and project sites
• Must live in or near Seattle

Preferred Qualifications
• Experience using Studio Designer for time entry, item entry, or client proposals
• Familiarity with procurement workflows and vendor coordination
• Experience documenting processes or creating standard operating procedures
• Experience helping teams adopt operational systems or workflows
• Comfort assisting with occasional marketing or social media tasks

Schedule
• Approximately 32 hours per week
• In studio Monday–Thursday
• After a 90-day review period, there may be an option for limited remote work depending on studio needs
