Studio Balestra is seeking a highly organized, proactive, and detail-oriented Showroom & Operations Coordinator to join our Los Angeles gallery. This is a full-time, in-office position (Monday–Friday) and an integral role within our growing team. We are looking to hire within the next two weeks.
This position is ideal for someone with prior experience in a luxury furniture gallery, interior design showroom, or similar high-end environment. The role combines client service, sales support, inventory management, logistics, and day-to-day showroom operations. It is not an interior design position.
You will be responsible for managing daily client correspondence, coordinating custom furniture orders from production through delivery, organizing incoming domestic and international shipments, maintaining accurate inventory records, preparing invoices and memos, and ensuring projects remain organized and on schedule. You will also welcome designers, architects, collectors, and private clients to the showroom, providing a professional and polished experience.
A significant portion of this role involves maintaining our Airtable database, including tracking client inquiries, inventory, pricing, order status, product availability, and vendor information. You will also upload new inventory to our online platforms, prepare product information, and assist with sourcing furniture, antiques, lighting, and decorative objects from new and existing vendors.
Success in this role requires exceptional organization, strong communication skills, and the ability to manage multiple priorities simultaneously without sacrificing accuracy. The ideal candidate has previous experience working in a luxury furniture gallery, high-end showroom, interior design studio, or similar client-facing environment. Experience with custom furniture, antiques, collectible design, or luxury furnishings is highly preferred.
Candidates should possess exceptional organizational and time management skills, with the ability to prioritize multiple projects and deadlines simultaneously. Strong written and verbal communication skills are essential, as the role involves daily interaction with clients, vendors, freight companies, and industry professionals.
Applicants must be highly detail-oriented, dependable, and capable of working independently while maintaining accuracy in a fast-moving environment. We are seeking someone who learns quickly, takes initiative, follows through on commitments, and consistently produces organized, high-quality work.
Requirements include:
-Minimum of 4 years of experience in a luxury furniture gallery, interior design studio, or related industry.
-Full-time availability (Monday–Friday) and ability to work on-site in our Los Angeles showroom.
-Reliable transportation.
-Strong proficiency with Microsoft Office, Google Workspace, and database management software. Experience with Airtable is highly preferred or the willingness to learn quickly.
-Experience coordinating custom orders, inventory management, shipping logistics, invoicing, and client communications.
-Ability to manage multiple priorities while maintaining exceptional attention to detail.
-Professional appearance and excellent interpersonal skills when welcoming clients to the gallery.
-Confidence working with designers, architects, collectors, vendors, and trade professionals.
