Calico Wallpaper is seeking a highly organized, proactive Project Coordinator to join our growing team. This role sits at the intersection of design, operations, and client experience and is ideal for someone who thrives in a fast-paced, creative environment while maintaining exceptional attention to detail.
We are entering a period of rapid growth, with new showrooms opening and an expanding calendar of installations, collaborations, and exhibitions worldwide. This is an exciting opportunity to join a small, high-performing team at the forefront of design and grow alongside the company.
The Role
The Project Coordinator supports a wide range of responsibilities across project management, customer service, scheduling, logistics, photography coordination, asset management, and internal systems. This role requires someone who is meticulous, self-directed, and comfortable juggling multiple priorities without losing sight of details.
Graphic design experience is not required, but familiarity with Adobe InDesign and the ability to assist with simple marketing materials such as presentations, print-ready lookbooks, or menus is a strong plus.
You are meticulous, proactive, and highly reliable. You take full ownership of tasks, communicate clearly and consistently, and move work forward without needing reminders. You are comfortable navigating both creative and operational responsibilities, stay calm under pressure, and enjoy being part of a collaborative, fast-growing team.
Key Responsibilities
Coordinate VIP installations, expos, fairs, and special projects from planning through execution
Schedule site measurements and manage communication with installers, vendors, and collaborators
Support customer service and claims documentation with professionalism and urgency
Lead monthly outreach to clients and designers to request completed project photography
Coordinate with photographers, including booking shoots, securing quotes, managing timelines, and tracking usage rights
Maintain and organize Calico’s digital asset library and photography archive
Support showroom updates, collaborator events, and maintenance of the sample slider system
Update website content such as press, news, and project features as directed by Marketing
Maintain accurate task tracking and documentation in Airtable
Support onboarding tasks, internal workflows, and remote phone system management

Qualifications
Strong organizational skills and attention to detail
Excellent follow-through and independent problem-solving ability
Clear written and verbal communication
Comfort learning new digital tools (Airtable experience a plus)
This role is primarily remote, with on-site work at the showroom, collaborator locations, project sites, and expos as needed. Occasional domestic or international travel may be required.
