Job Description

The Procurement Lead is a dual role that will support projects in the design and production phases of residential projects as well as support Haldon House from an administrative perspective. The candidate should possess exceptional sourcing and procurement skills, have experience on complex design projects, work collaboratively with the design and technical teams, maintain relationships with vendors and have the ability to solve technical issues. Additionally, the candidate will support the team with administrative duties including attending meetings and capturing action items, onsite supervision of select tasks and own general office management functions. This is an onsite position in Bryn Mawr, PA.

Job Requirements

Sourcing: Work with design to bring creative vision to life:
• Translate designs into technical decks for pricing
• Source materials, furniture and decor options within the established aesthetic, budget and timeline approved by client and CD
• Work with custom vendors to develop product per project
• Be the go-to expert on vendors and brands for all building materials, fixtures, appliances, finishing materials, and FF&E including furniture, window treatments, drapery, fabrics, wall coverings, wall treatments, lighting, carpeting, regular painting, decorative painting, decorative finishes, art and accessories
• Maintain and organize all vendor information in company CRM
• Continuously update with new researched vendors that are on brand for Haldon House
• Maintain relationships with new and existing vendors
• Attend shows, procure product samples and maintain the organization of the material library
Procurement:
• Work closely with Project Management to ensure all purchases adhere to budget and timeline
• Coordinate and record payments to ensure proper accounting, controls and budget management
• Negotiate and order all materials, appliances, furniture, fixtures, decor and treatments once approved by client and Creative lead
Purchase Coordination:
• Create and coordinate installation timelines and schedules
• Track orders and provide weekly status reports
• Monitor and record order information in internal systems as orders move through the ordering, accounting, production and delivery stages
• Provide forecasting data to the Finance lead to ensure cash flow is in line with the purchasing schedule
Delivery & Installation:
• Collaborate with storage companies to ensure products are received as ordered and problem solve any deviations
• Resolve damaged and incorrect products received
General:
• Ability to work on multiple projects concurrently
• Taking a proactive and positive approach to problem solving
• Highly organized and with a strong ability to prioritize
