Key Responsibilities
Procurement:
Source and procure furniture, fixtures, equipment, and materials according to design specifications.
Build and maintain strong relationships with vendors, manufacturers, and artisans to secure competitive terms and exclusive offerings.
Track orders, coordinate deliveries, and resolve any issues such as delays or damages.
Stay informed about industry trends, emerging products, and market pricing to make value-driven recommendations.
Create and manage purchase orders while ensuring accuracy in all procurement documentation.
Bookkeeping:
Manage financial records, including accounts payable, receivable, and reconciliations.
Track and report project budgets to designers and stakeholders.
Prepare invoices, handle client billing, and monitor expenses to ensure budget adherence.
Ensure compliance with tax regulations and maintain financial documentation for audits and year-end reporting.
Support financial forecasting, cash flow management, and profitability analysis for projects.
Position Requirements:
Proven experience in procurement and bookkeeping, preferably in the interior design field.
Strong understanding of the interior design process, including sourcing, budgeting, and vendor coordination.
Proficiency in bookkeeping and procurement software (e.g., QuickBooks, Design Manager, or similar platforms).
Exceptional organizational skills and keen attention to detail.
Excellent communication and negotiation skills for client and vendor interactions.
Ability to manage multiple deadlines, prioritize tasks, and adapt to dynamic project needs.
Technical Requirements:
Access to reliable computer equipment capable of running financial and procurement software.
Stable internet connection and proficiency in Zoom for client meetings and team collaboration.
Preferred Skills:
Familiarity with vendor catalogs and pricing structures within the interior design industry.
Experience with international sourcing, customs regulations, and shipping logistics.
Certification in bookkeeping or procurement management is an advantage.
