The Principal Assistant + Office Coordinator serves as a strategic extension of the Principal Designer, ensuring seamless communication, organization, and operational flow across the studio. Acting as both a trusted gatekeeper and an operational leader, this role supports the principal and broader team by anticipating needs, implementing efficient systems, and maintaining studio-wide structure.
This position thrives on initiative, precision, and professionalism — bringing foresight, composure, and elevated service to every interaction with leadership, clients, and staff.
• Coordinate the Principal Designer’s dynamic calendar, facilitating all internal meetings and external engagements with accuracy and discretion.
• Partner with agency to arrange domestic and international travel for the Principal and team, ensuring seamless itineraries, preferred accommodations, and streamlined communication.
• Collaborate with the design team assistant to plan and execute company events, outings, and off-site activities.
• Work closely with the design team on post-occupancy processes, ensuring a smooth project close-out and a refined client experience.
• Oversee office upkeep and vendor coordination, ensuring repairs, improvements, and ongoing projects are completed efficiently and with minimal disruption.
• Liaise with the IT company to troubleshoot technical issues, coordinate maintenance schedules, and streamline technology set-up for new and existing employees.
• Coordinate all onboarding and offboarding logistics with IT and HR, including systems access, hardware, and compliance checklists.
• Track renewal dates for subscriptions, contracts, and service agreements, maintaining proactive oversight of all studio commitments.
• Handle daily mail, package routing, and shipping needs with accuracy and timeliness.
• Oversee the principal’s wish list, tracking requests and ensuring follow-up on action items.
• Liaise with insurance brokers to procure additional policies as needed and assist with principal estate planning documentation.
• Partner with art registrars to oversee the principal’s art collection, ensuring accurate documentation and maintenance.
• Schedule and coordinate performance reviews in collaboration with management, supporting HR with trainings and team-building initiatives.
