Interior design firm is looking for a detail-oriented Office Manager / Bookkeeper to assume responsibility for managing the office and maintaining the financial operations of the company.
Position reports to Principal of the firm
Responsibilities include:
• Invoice clients and monitor accounts receivable
• Enter and properly code accounts payable and credit card transactions
• Firm wide purchasing of office supplies, product and service orders; monitor accounts payable
• Record cash receipts and prepare bank deposits
• Record client reimbursable bank and credit card transactions
• Provide bookkeeper with bank and credit card log of transactions for expense distribution
• Process payroll
• Collection and processing of employee reimbursements and Petty Cash
• Review work in progress
• Finalize and review monthly financial statements
• Maintain monthly budget, calculate variances, and report to management
• Liaison with tax accountant, bookkeeper, insurance broker, IT, and other outside consultants
• Communication with clients and vendors
• Oversee office operations
• Oversee office maintenance
• Assist with human resources
• Provide administrative support to principal and design team
• Monitor and order office supplies
• Project management on an as needed basis
• Responsible for handling Principal’s personal administrative needs including but not limited to travel reservations, schedule management, time entry logs
• Coordinating schedules, arranging meetings, distributing memos and reports ensuring that everyone is kept current of necessary company news and information

Experience:
• Good understanding of accounting principles and practices
• 3-5 years previous bookkeeping experience
• Office management experience
• Interior design industry experience a plus
• Studio Designer experience strongly preferred

Timothy Whealon is a graduate of Kenyon College, where he studied English Literature and Art History. He moved to New York to begin a career in banking and completed a credit training program on Wall Street before pursuing his passion for the arts and design. Mr. Whealon completed the Sotheby's Works of Art course in London and the corporate management training program with Sotheby's New York before opening his offices in 1994. He is an Elle Decor A-List designer whose work has been published in Elle Decor, House Beautiful, Veranda, House and Garden, Architectural Digest, Domino Magazine, Frederic, The NY Observer, The New York Times – Home Section and numerous books.
Mr. Whealon serves on the board of the Gund Gallery at Kenyon College. The first monograph of his work, "In Pursuit of Beauty: The Interiors of Timothy Whealon," was published by Rizzoli in 2015.
