Job Description

The Office Coordinator is an integral part of day-to-day operations for both Jeremiah Brent Design and Jeremiah Brent Entertainment. The Office Coordinator will work closely with the Office Director to ensure a positive and productive work environment for the entire company. The responsibilities of the Office Coordinator will be (but not limited to):

OFFICE / ADMINISTRATION
Overseeing the in-person NYC Office and remotely managing LA Office:
-janitorial
-superintendent
-building management / COI
-ext.

HUMAN RESOURCES
Assist the Executive team with year end activities
- holiday party planning
- travel for LA team for year end visit (as applicable)
- client gift planning and expediting
- ext.
BILLING
-assist Office Director with outside contractor hours for time billing purposes
-assist Office Director on preparation of team hours /entries for monthly billing
-assist Office Director with expense recording via Amex and QBO
-ensuring employees are following proper documentation for their own receipts and expenses

Job Requirements

You’re someone who can pivot between managing logistics and creating moments of hospitality, with equal parts precision and care. You love building systems and supporting people.

OFFICE COORDINATOR:
-A natural organizer with at least two years of experience in operations, office coordination, or studio management

-Resourceful and proactive, with strong judgment and follow-through

-Skilled at balancing multiple priorities with grace and clarity

-Comfortable working in a highly collaborative, design-forward environment

-A strong communicator who values hospitality, discretion, and professionalism

-Experienced with platforms like Google Suite, QuickBooks, and Slack (experience with project management tools a plus)

-Passionate about creating a beautiful, functional, and welcoming workspace

-Comfortable supporting both in-person and remote teams across time zones

-Familiar with or excited to learn about the nuances of working in a design, creative, or production-based studio

-Able to lift or move light office furniture or supplies as needed
