We are seeking an Estimating & Procurement Specialist to join our growing studio. This role ensures the smooth and efficient execution of all estimating, ordering, delivery, and installation processes. You will play a vital part in managing FF&E specifications, purchase orders, and vendor communications—from initial estimate through final payment.
The ideal candidate is exceptionally organized, proactive, and passionate about creating streamlined systems that bring efficiency and transparency to our workflow, ultimately helping our principal designer focus on the creative vision.
Key Responsibilities
Billing, Procurement & Logistics
• Create and manage proposals, invoices, and purchase orders for all project materials.
• Assist with project estimating on fixed finishes & soft furnishings and maintaining up-to-date pricing databases.
• Place and track orders from inception through delivery and installation.
• Liaise with vendors and suppliers, ensuring timely communication and accuracy across all orders.
• Oversee shipping logistics, including coordination with freight companies, messengers, and white-glove delivery teams.
• Manage warehouse intake processes and coordinate with storage and installation teams.
• Assist with client budgeting and retainer tracking.
• Maintain and monitor all shipping-related accounts
• 2+ years of experience in procurement, estimating, or operations within interior design, architecture, or related industries.
• Strong knowledge of FF&E processes and vendor management.
• Proficiency in quickbooks, Materio, or similar project management software (preferred).
• Excellent communication and time-management skills.
• Detail-oriented with strong organizational and documentation abilities.
• Ability to work independently while collaborating with a small, creative team.
