For small businesses, flexibility is often seen as the key to success. Teams must adapt to shifting workloads, evolving client needs and the unique strengths of individual employees. But without the right structure in place, that flexibility can quickly turn into inefficiency, confusion and burnout.

In this session, designer Susannah Holmberg draws on her years of experience building and leading her own firm to demonstrate how thoughtful systems, clear roles and standardized processes can create the foundation for a more agile, productive and creative team. Citing real-world examples, she will describe how she structures workloads, defines responsibilities and implements tools that make it easier to identify hiring needs, support employee growth and maintain consistency during periods of rapid expansion. From flowcharts and week-at-a-glance planning to client touchpoints, software platforms and communication templates, attendees will gain practical insights into the systems that keep projects moving and teams aligned. Ultimately, this session will demonstrate how the right structure doesn't limit flexibility—it enables it, creating the conditions for employees to be more versatile, empowered and effective in their roles.
