We are seeking a highly organized and detail-organized Operations Assistant to oversee company operations and ensure the seamless execution of orders from purchasing to delivery. This role works closely with the design team, vendors, shipping and warehouse facilities to manage logistics. The Operations Assistant will serve as the central point of coordination between designers, vendors, workrooms, and clients. This role requires strong organizational skills, proactive communication, and the ability to track many moving parts simultaneously. Your attention to detail and follow-through will directly support the quality and consistency our clients expect.
Responsibilities
• Oversee project budgets and billing cycles
• Monitor the Work in Progress, AP and AR reports
• Request vendor quotes and lead times to produce client proposals
• Place and expedite orders, proactively resolving discrepancies or delays
• Produce client invoices and coordinate with bookkeeper and CPA for monthly close
• Track all FF&E ensuring timely deliveries and schedule installations
• Assist in client presentations, sample pick ups, installations and photoshoots as needed
• Provide clear and timely status updates to design team
• Assist in general administrative tasks
• Must be highly flexible to take on miscellaneous tasks throughout the day
Qualifications
• 1-3 years in interior design or operations
• Highly organized and detail oriented
• A self starter with exceptional follow through and professionalism
• Proficiency in Studio Designer is a plus
• Systems thinker who enjoys structure
