Job Description

• Coordinating the full procurement of items for high end residential projects in US and overseas
• Experience dealing with global projects and suppliers.
• Maintain a network of suppliers and resources.
• Be confident and able to positively interact with both team members and suppliers.
• Managing all aspects of client proposals and purchase orders using Studio Designer or Design Manager
• Liaise with project teams to fully understand project requirements, timelines and approvals, shipping methods to successfully deliver
projects on time and within budget.
• Collaborate with project designers to track and record project-related expenses, ensuring they’re properly allocated and reconciled
according to company policies and procedures.
• Support the Senior Accountant with accounting and bookkeeping tasks, accounts payable and financial record management.
• Sample library management, ordering supplier samples and returning
• Monitoring the progress of all orders to ensure all goods are delivered in time
• Organising all global shipping and logistics, including the creation of all documents and import/export procedures
• Identifying errors or discrepancies in order; following up on solutions with vendors. Addressing damage issues and follow-up on repairs/replacements
• Managing project procurement budget schedules and adjusting as needed
• Assisting with install administration, logistics and receiving warehousing

Job Requirements

• Proficient in Microsoft Suite and brilliant at Excel spreadsheets
• Studio Designer/Design Manager software experience a plus
• Knowledge of InDesign software a plus
• Education: BA or higher
• 3+ years of full time Procurement operations experience
• Expertise in the organisation or purchasing deadlines, lead time changes, pricing changes, vendor follow-up
• Must be able to efficiently work from home and commute into our central New York office as needed. This position requires 3 days
working in the office.

• Ability to organise and prioritise workload in order to meet deadlines
• Proven ability to coordinate many items into a concise delivery schedule

About our Company

Charles & Co - (AD100) - is a high-end interior design firm working on bespoke residential and hospitality interiors for extremely private HNW clients around the globe. We are currently seeking a Procurement Coordinator for our New York office, to assist our Senior Accountant in New York with managing the US procurements and also to assist with general office management. The ideal candidate will have at least 2-3 years of full-time professional procurement experience, preferably in the luxury market, and assist the design team with other administration such as setting up trade accounts, managing samples, tracking and budgets. This position offers the opportunity for hybrid working and would therefore be suitable for someone who would like to work partly from home. The candidate must be available to work from our New York studio a minimum of 3 days a week.
