We are seeking an Operations Manager to bring structure, clarity, and excellence to the operational backbone of the firm.

Role Overview

The Operations Manager is responsible for the firm’s internal systems, financial oversight, project infrastructure, and day-to-day operational performance. This person ensures that designers can focus on design, while the business runs smoothly, profitably, and predictably.

You will work closely with leadership to improve systems, optimize workflow, and maintain financial clarity across all projects.

Key Responsibilities
Financial Operations

Oversee project budgets, billing cycles, and cash flow tracking

Monitor WIP, AR, and vendor payments

Ensure accurate job costing and margin visibility

Coordinate with bookkeeping/CPA for monthly close

Improve financial reporting dashboards and KPIs

Project Operations

Implement and maintain project workflow systems

Standardize purchasing, PO approval, and vendor payment processes

Improve schedule tracking for construction materials and FF&E

Ensure documentation is consistent and audit-ready

Create operational checklists and SOPs

Systems & Process

Optimize internal tools (e.g., Google Studio Designer, Asana, Salesforce, etc.)

Identify automation opportunities
Improve data accuracy and reporting visibility
Develop scalable processes to support growth
Team Leadership
Support designers in operational discipline
Train staff on systems and best practices
Maintain accountability for timelines and deliverables
Foster a culture of precision and ownership

Job Requirements

Vendor & Contractor Coordination:
Ensure purchasing timelines align with construction schedules
Maintain vendor compliance documentation
Standardize communication processes

Qualifications:

5+ years in operations, project management, or financial oversight
Experience in interior design, architecture, construction, or related industry preferred
Strong financial literacy (budgeting, margin tracking, billing cycles)
Highly organized with exceptional follow-through
Systems thinker who enjoys building structure
Comfortable in a fast-paced, high-expectation environment
Discreet and client-service oriented
