This role exists to own the operating system of the founder’s life and work—so she can function at the highest creative, strategic, and leadership level without friction, distraction, or decision fatigue. You will manage both professional and personal logistics with total discretion, authority, and accountability. This includes office-based executive support and hands-on life and home operations, including child-related logistics.
CORE RESPONSIBILITIES
1. Executive & Business Operations
Own founder’s calendar with full authority based on defined rules
Gatekeep meetings, requests, and interruptions
Decline, reschedule, or delegate without escalation
Manage inbox triage (professional + personal)
Prepare founder for meetings, decisions, and travel
Anticipate needs before they become requests
Act as a buffer between Nicole and unnecessary communication
2. Personal, Home & Family Operations
You are responsible for end-to-end life logistics, including:
Managing household vendors (cleaning, repairs, maintenance)
Scheduling and overseeing home appointments
Grocery ordering and household provisioning
Vehicle logistics (gas, service, detailing)
Managing personal appointments (medical, wellness, etc.)
Coordinating travel and recovery time
3. Child & School Logistics
This role includes hands-on child-related logistics, such as:
Coordinating school schedules and calendars
Managing after-school logistics and activities
Picking up founder’s son from after-school as needed
Coordinating sitters, childcare coverage, and schedule changes
Ensuring smooth transitions between work, home, and school days
4. Systems & Decision Removal
Identify recurring friction and eliminate it with systems
Build checklists, routines, and workflows
Reduce reliance on Nicole’s memory or availability
Document rules so decisions are made once, not repeatedly
This role is only for candidates who:
Have experience supporting high-level executives or principals
Are comfortable operating across business and family contexts
Exercise strong judgment and discretion
Can enforce boundaries without apology
Are calm, direct, and unflappable
Do not need to be liked to be effective
Can manage vendors, adults, and logistics independently
Are comfortable handling sensitive family matters professionally
Excellent verbal and written skills
Super organized
Live in or near NYC
Event experience a plus
Social Media fluency a plus
