Job Description

The senior role of this team member is to oversee the financial and human resource functions of the firm, as well as ensure the entire team is set-up to thrive in a fast paced creative environment whether in the office or on the move. This position reports to the Principal of the firm.

The ideal candidate for this role will have the following experience and capabilities:
Bachelor’s degree- Accounting or Business
• Possess strong accounting and financial skills to guide the firm toward optimization
• Possess strong people skills to foster an inviting and productive work environment
• Be tech savvy - Proficiency optimizing DesignSmart, QuickBooks and other design project management platforms
including Microsoft 365 and others as the business dictates
• Have a general understanding of interior design or home services business
• Must have a strong work ethic – punctual, attentive to details, professional in demeanor, excellent written and verbal communication skills, and be an enthusiastic team member
• Have organizational skills and the ability to multi-task, taking initiative and principalship of tasks
• Possess a strong commitment to client service and have a strong understanding of decorum with contractors and partners regarding clients’ privacy
• Successfully work on multiple projects simultaneously, exercising strong time management skills

Job Requirements

Financial responsibilities (along with supporting Accounting Manager)
Manage firm bank accounts, 401K program, compliance and Workman's Compensation, as needed
Manage accounting / tax firm, platforms and services
Oversee and approve payroll, taxes, annual 1099s and W2's, employee reimbursements
Approve bill payments and payroll submissions
Oversee Account Payables and Receivables
Oversee accounting and ensure proper practices are being followed
Generate and review P&L and other financial reports with Principal and accounting firm
Manage any legalese

Client and Vendor
Initiate and execute client agreements, with Principal as appropriate
Review and approve vendor agreements, with Principal as appropriate
Ensure insurance, contracts, deposits are in place prior to installation
Oversee damage claims
Oversee client account reconciliation process

Human Resources & Team Spirit
Initiate and execute offer letters and terminations
Ensure new hire on boarding, training and mentoring is happening properly
Keep track of employee vacation and sick time
Lead the company-wide process for semi-annual performance/growth discussions in partnership with the Studio Director
Ensure Employee Policies & Procedures Manual is current, executed and abided by
Create and coordinate periodic team outings, retreats, and design community involvement

Office Operations
Oversee technology systems supporting the firm- IT, printers, office systems
Manage and approve leases and subscriptions, professional memberships
Manage insurance(s) and license(s)
Ensure office is well maintained and always client ready

Periodically
Attend weekly company-wide office mtgs
Assist Principal with personal matters
Assist team with travel
